Operations Analyst

POSITION SUMMARY

The Operations Analyst manages the back office operations of the department. This position involves leading and optimizing key operational, financial and marketing functions. From an operations perspective the role involves maintaining subject matter expertise of department tools, processes and knowledge. From a financial perspective the role involves developing and producing timely and accurate operational and financial reporting.   From a marketing perspective the role is responsible for optimizing the effectiveness of the PSG through the creation, maintenance, management, and dissemination of key deliverables and information critical to the group’s charter of delivering Datacert solutions to the market.  

DUTIES AND RESPONSIBILITIES

Essential Functions:

Operational 

  • Perform the duties as the department subject matter expert in technical tools such MS Project Server and NetSuite
  • Ensure all data is being kept up to date in MSPS and NetSuite to include:
    • Weekly time reporting
    • Updated project plans
    • User information maintenance
  • Assemble weekly project status deck
  • Responsible for the use and reporting of the Customer Operations credit card
  • Harvest and document departmental best practices
  • Maintain PSG portal – Keep marketing, best practice, resource, status materials up to date. Continue to expand and enhance the site
  • Drive departmental efficiency initiatives
  • Document and enforce departmental policies and procedures

Financial

  • Develop, maintain and distribute periodic reporting to include:
    • Project time/cost analysis
    • Project Profit/Loss Report
    • Personnel Utilization Report
    • Revenue Recognition
    • Bookings
  • Prepare data for monthly time and material billings
  • Interface with Accounting to ensure department financials are accurate and in accordance with company financial standards
  • Prepare department budgets and forecasts as required
  • Review contracts and SOW’s for acceptance criteria and other relevant items as they pertain to financial

Marketing

  • Drive the effort to capture and disseminate PSG’s collective industry knowledge to ensure group can deliver best practices to during client engagements
  • Define and implement process to consolidate, manage, and store all official PSG documents and tools on document sharing system and ensure updates to deliverables are communicated effectively
  • Work closely with Product Marketing Managers to ensure PSG content & deliverables are kept consistent with current messaging and product information
  • Update existing PSG deliverables to ensure consistency of branding and presentation
  • Assist with sales proposals, RFP’s, sample project plans and Statements of Work

Additional Responsibilities:

  • Arrange department meetings and events
  • Represent department in company-wide initiatives and operational improvements

REQUIREMENTS AND QUALIFICATIONS

Education, Licenses and Certifications:

  • Bachelor’s degree required, MBA a plus

Experience:

  • Minimum 2-4 years of professional experience required in a software development and services organization

Critical Knowledge, Skills and Abilities Requirements:

  • Must be reliable and deadline oriented
  • Advanced in Microsoft Office (especially Excel and PowerPoint), MS Project and SharePoint proficiency
  • Data analysis skills sufficient to recognize data anomalies, problems and correct or recommend corrective action
  • Human relations skills sufficient to communicate effectively when collecting and presenting data to a variety of staff and customers
  • Writing, analyzing, editing and publishing of data and information sufficient to communicate recommendations, represent information in a narrative or non-narrative format
  • Communicate verbally and in written form sufficient to draft written reports and participate in meetings to inform other staff and customers
  • Work independently yet function as part of a team sufficient to accomplish Professional Services objectives
  • Must be detail oriented and a critical thinker and able to work without direct supervision
