Job Description:

Reporting to the Accounts Payable Manager, the Accounts Payable Supervisor will be the sole representative at the Wilf campus in Washington Heights and will be required to perform a variety of A/P functions following established University principles and procedures. The Wilf campus A/P office serves all of the departments of the Manhattan Campuses as well as the affiliated High Schools.

While this position has no staff management responsibility, this individual will be the only Accounts Payable presence at the Wilf Campus and must exercise independent judgment and keen business expertise to manage the various complexities that arise each day.

Responsibilities:

  • Approves requests for manual checks for vendors, contractors, etc and manages the reconciliation process (recordkeeping, documentation, g/l). Ensure there are sufficient funds to cover weekly disbursements.
  • Manages disbursements for all campuses by determining appropriate A/P department
  • Reviews all payment requests and advances for compliance, proper documentation, related receipts, departmental and finance approval, in accordance with Business Expense and General Payment and Travel Policies.
  • Reviews and reconciles the IRS 1099 filing for the Manhattan Campuses as requested by senior management.
  • Responsible for responding to internal and external audit inquiries.
  • Acts as liaison between departments and outside vendors resolving discrepancies and payment status.
  • Issues stop-payment on checks as needed based on presented circumstances.
  • Manages the accounts payable database including the assignment of new vendor ID numbers and related contact information and enters payment reconciling foreign currency as needed.
  • Will provide backup assistance to the Einstein Campus A/P department as needed.

Requirements:

  • Bachelor's Degree and 3-5 years Accounts Payable experience are required. If no bachelor's degree, an equivalent combination of education and related Accounts Payable experience.
  • High proficiency in Microsoft Excel and Word.
  • Experience with electronic procure to pay system (i.e. Banner, Peoplesoft, SAP, Lawson, JD Edwards) highly preferred.
  • Experience in a higher education, hospital, or non-profit environment a plus.
  • Must be willing to work additional hours during peak times as needed.
  • Must be action and results oriented with the ability to adapt to changes in the workflow. Proven track record of fiscal responsibility with increasing levels of independence.
  • Demonstrated understanding of principles of financial management necessary to ensure the appropriate stewardship of university resources.
  • Strong analytical, organizational, and problem solving skills. Demonstrated skill with attention to detail and accuracy, and the ability to follow through.
  • Must be able to work cooperatively with others within and across functions at all levels of the University.
