The objective of the Accounts Receivable Clerk/Office Assistant is to provide financial, clerical and administrative services to ensure efficient, timely and accurate payment of accounts receivable; and to assist with administrative tasks to facilitate smooth running offices.
Responsibilities
| Accounts Receivable |
| · Calculate, print and issue client billing each quarter · Research and solve payment discrepancies · Monitor client account details for non-payments, delayed payments and other irregularities · Carry out collection and reporting activities according to specific deadlines · Investigate and resolve client queries · Maintain accounts receivable client files · Communicate with clients via phone, email, mail or personally · Prepare new client contracts; ensure signed contracts are returned · Annual mailings to all clients as required by SEC regulations · Performs other duties as assigned |
| General Accounting |
| · Assist with quarterly dashboard report · Assist with preparation of financial analysis and forecasts · Assist with tax return preparation · Assist with accounting manual updates · Bank account reconciliation · Respond to inquiries. Check accounting transactions to locate and resolve discrepancies · Maintains records through filing, retrieval, retention, storage, compilation, coding, updating and purging · Performs other duties as assigned |
| Office Assistant |
· Maintain inventory and ordering for operational needs
· Keep all supply areas neat and organized
· Assist employees with facilities issues, concerns, etc.
· Recommend policies and procedures for a smooth running office and implement if approved
· Assist with office development projects
· Assist with maintenance and changes needed in office areas and equipment, as well as layout, arrangement and housekeeping of office facilities
· Perform other duties as assigned
Qualifications
· Associate’s degree (A.A.) or equivalent from two-year college or technical school; or two years related experience and/or training; or equivalent combination of education and experience.
· Thorough understanding and knowledge of accounting concepts, practices, and procedures. Able to rely on instructions and pre-established guidelines to perform the functions of the job.
· Able to identify and resolve problems in a timely manner.
· Required skills: attention to detail and accuracy; organizational skills; time management; initiative; ability to multi-task
· Strong written and verbal communication skills.
