Administrative Assistant/Coordinator
Mercer is currently hiring an Administrative Assistant/Coordinator to support their Financial Services Group. A Consulting Coordinator provides administrative support to an individual or group by possessing a sharp understanding of Investment Consulting, clients, key terms, and service offerings. Demonstrates strong interpersonal skills and the ability to quickly build credibility and gain confidence of individuals at all levels. Consulting Coordinators provide support, which will directly enhance consultant efficiency and effectiveness in servicing clients or business-related activities. The activities may include research, special projects, monitoring business development activities, and template/database creation. Further, Consulting Coordinators support consultant(s)'s role by coordinating production/peer review for quarterly client investment performance reports and special projects. This person handles sensitive information with professionalism and integrity and communicates openly and often among team members and continually strives to promote smooth workflow and ensure client needs are met.
Responsibilities include, but are not limited to, the following:
- Manage Consultant calendar; schedule meetings i.e. quarterly reviews, project meetings, internal and external client focused. Schedule travel arrangements; manage travel expense reimbursement, complete time entry, as applicable. Process expense report (with consultant assistance) in a timely manner.
- Edit and create documents using PowerPoint, Excel & Word while ensuring all documents produced adhere to Mercer's global identity/document standards.
- Ensure documents adhere to Mercer's global identity/document standards; serve as final quality control and peer review on all internal/external client documents. Improve team efficiency through document preparation and production work.
- Build client rapport; understand the broad scope of client relationships and how that may cross practices, as well as any unique client needs.
- Serve as liaison between consultant and client to answer project questions or to re-direct client to the appropriate consultant/analyst.
- Ensure consultant contacts are up-to-date on the Global Client Database (GCDS) and/or other client databases. Maintain files, vendor contacts, libraries, and databases (business development, work flow, and work quality) for the business.
- Assist with drafting/development of engagement letters/proposals, including gathering client-specific data and other pertinent information adhering to established guidelines.
- Keep team members informed of information that may impact workflow and/or service delivery.
- Maintain timely, accurate, and proficient production of consultants' correspondence with attention/suggestions to aid continuous improvement.
- Expedite processes or counsel/direct peers to whom/where information resides based on awareness of subject-matter experts.
- Answer telephones, take messages and redirect calls for the team from investment managers, clients and prospects, and colleagues from around the world.
- Support client billing and time recording.
- Coordinate with word processing, central files, mailroom and print shop staff.
- Contribute to profitability through accurate and prompt time recording. Attain billable hours goals.
- Bachelors degree or equivalent experience equaling 5 or more years in a corporate office or professional services firm
- Experience in financial services a plus
- Ability to prioritize and multitask, as well as work effectively under tight deadlines
- Exceptional organizational, time management, execution and tracking skills
- Demonstrated expertise in Microsoft PowerPoint, Word, and Excel; Access is a plus
- Ability to learn financial and administrative software systems
- Sound judgment, good problem solving skills, efficiency and ability to take ownership of results (should be indicated by previous work performance)
- Strong verbal and written communications skills; must be comfortable talking with investment professionals, bank custodians and corporate clients
- Excellent interpersonal skills; must enjoy working as part of a team
- Comfortable working in an analytical/numbers-oriented environment
