Administrative Assistant
Job Summary: --
The Administrative Assistant provides assistance to the Presidents and Project Managers, by handling a wide variety of complex situations involving administrative functions, vendor services coordination, and event planning/logistics. This position has the responsibility to organize and implement all tasks necessary to maintain an efficient flow of paperwork from the initial project bid through the completion, billing and collection efforts. Individual must be a team player with many years’ experience in the clerical and administrative fields, preferably in the construction industry.
Essential Duties and Responsibilities: --
Creates, maintains and monitors Project files, Bid Lists, Vendor files, Bond Requests, Certificates of Insurance, Change Orders, O&M’s, Business Licenses, and License renewals. Liaison with vendors and contractors dealing with plan documents, addendums, vendor/bid forms, bid sheets, As Builds, and /or warranty letters. May represent division at Public Bid Openings. Administrative duties include data entry, typing of correspondence, filing and other general office functions.
Qualifications: --
Detail oriented, strong organizational and follow-up skills necessary. Proficiency with the Microsoft Office Suite, Lotus Notes and COINS software is required. Must be able to meet deadlines and handle multiple projects. Ability to type 40 wpm accurately is essential. High School Diploma or equivalent required, some college or continued education preferred. A minimum of 3 years clerical experience in the construction industry preferred. Knowledge and exposure to bookkeeping is a plus. Ability to read, interpret and analyze routine business communications and to compose standard business correspondence. Must be able to present information, data, facts and figures across all organizational levels. Ability to perform simple mathematical functions such as addition, subtraction, multiplication, division, averages and percentages.
