This Administrative Assistant position will provide support to the Finance department. We are looking for an energetic, team player who enjoys working in a fast paced environment and will take initiative to do whatever is necessary to ensure needs are met. This key individual will manage multiple deliverables, commitments and correspondence in support of the team's daily activities. Therefore, our top candidate will be able to juggle multiple priorities, will be expedient and will handle situations with poise, tact, diplomacy and confidentiality.

The primary objective of the Administrative Assistant is to ensure that the department runs smoothly by resolving many day to day issues and providing administrative support for the department. In this role you will…

  • Provide administrative support for supervisor and others within the department as needed
  • Assist supervisor with projects, programs and meetings
  • Support department by maintaining supervisor's calendar, travel planning, meeting and event planning
  • Mail distribution, send faxes, copying, maintain confidential files, records and databases as needed
  • Consolidate, edit, and distribute various department correspondence, reports and presentations
  • Host visitors, handle incoming calls and routine matters for the department leaders
  • Becomes an expert in Administrative Services by gaining a thorough understanding of all the various departments functions
  • Review and track expense reports, code and track invoices and budgets for department
  • Responsible for all ordering of supplies for the department including office, vending and paper supplies and keeping the office supply cabinet organized and stocked
  • Back up other Assistants in the department as needed
  • Complete special projects as assigned
  • 4-5 years of Administrative Assistant Experience with extensive working knowledge of general office practices
  • IAAP certification a plus
  • Proficient in Word, Excel, PowerPoint and Outlook
  • Must have the ability to edit and proofread communications, accuracy and attention to detail is critical
  • Must have excellent interpersonal and communication skills
  • Flexibility, high energy level, results oriented, and strong follow through skills are critical
  • Time management skills are essential
  • Highly organized with the ability to perform multiple tasks and handle changing priorities successfully in a fast paced environment with little direct supervision
  • Must posses a high degree of integrity when dealing with confidential and sensitive information
  • Must be able to work with individuals at all levels of the organization
