Job Description

The Administrative Assistant will provide daily administrative support for the VP of Multi-Vendor Services, Operations Director and HR Manager.

They will be manage the calendar, answer phones and be the first point of contact to visitors. They wil prepare documents and reports as needed; will maintain confidentiality of information; assist with all administrative tasks, i.e. expense reports, etc. and coordinate events for business meetings; conference room scheduling and act as the point of contact for building leasing agent. The Administrative Assistant will order and maintain office supplies, be the point of contact for office supply vendors, maintain hard drive tape deck to insure file backup of daily work activities, collect and distribute mail daily for the Franklin office. As needed they will provide support to MV Regional Service Managers, complete COS forms, liaison with sub-contracting, field employee support and provide administrative training. They will assist with New Hire On Boarding – Order Computer, tools and test equipment, supplies, process forms etc, employee termination processing – user request form, fleet notification etc. Will act as a liaison for field customer services administrative staff, approve field initiated ereq’s, act as the main point of contact for MVS employees related to office procedures, supplies, etc., will communicate with and help others. Will help coordinate/publish MV newsletter; serve as a member or lead in office committees to include “Safety Committee” and oversee all office equipment shared by MVS staff in Franklin Office.


Requirements

Must be proficient in all Microsoft Office software including Visio and MS Publisher.

Must be very organized and detail oriented, have the ability to maintain confidential infomaiton, be personable and a team player.

Must be able to multi-task in a fast paced environment and possess exellent administrative skills.

BS degree preferred, but not required. Must have at least 3 - 5 years of administrative support experience.
