Pfizer Global Supply Kalamazoo is seeking an Administrative Assistant to manage the office and handle duties for the leadership team. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position.  This position will report directly to the Sr. Director of Operations.


Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the site. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the company’s policies, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.

List of Responsibilities:

  • Reply to email, telephone or face to face inquiries
  • Organize and schedule meetings and appointments
  • Handle sensitive information in a confidential manner
  • Order office supplies and maintain inventory
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Provide information by answering questions and requests
  • Handle multiple projects
  • Ensure operation of office equipment by calling for repairs; maintaining equipment inventories
  • Resolve administrative problems
  • Miscellaneous duties as required


Minimum Education – High school diploma; Proven administrative or assistant experience

  • Excellent time management skills and ability to multi-task and prioritize work
  • Demonstrated ability to maintain a high level of attention to detail and accuracy
  • Problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient knowledge of Microsoft Office suite of products and SharePoint required
  • Strong verbal and written communication skills

  • Must be able to obtain status as a Notary
  • Experience with systems, such as Ariba preferred


Associates degree preferred

The successful candidate will have routine communications with internal Kalamazoo colleagues (Drug Product Operations, Active Pharmaceutical Ingredient Operations, Supply Chain Operations, Engineering, Environmental Health and Safety, Quality, Business Technology (BT), Business Excellence, Product and Product Technology, Operational Excellences, Finance, Human Resources and Procurement; and visitors from the Pfizer network, as well as external parties.
