Administrative Assistant

Job Description:

Overall support to the supervisor, manager or administrator as related to day to day requirements of the office or department. Duties include calendar coordination, word processing, basic to moderately complex spreadsheet preparation, attendance at meetings for minutes taking and distribution, purchase orders, check requests, data entry and mail service.
1. Assists in day to day operational tasks of the office or department as summarized above.
2. Preparation of memos, statistical reports, position justifications, salary increases and correspondence.
3. Payroll entry and maintenance of data for BU and NBU staff if required. Liaison with Payroll to resolve errors in compensation and accrued time.
4. Initiation and follow through of personnel action and position requisitions with frequent contact with Human Resources, Compensation and Recruitment.
5. Initiation of purchase orders, including securing best pricing as practical, as well as office equipment. May interact with Finance re vendor payment. Tracks expiration of existing vendor contracts and initiates renewal as necessary.
6. Assists in maintenance and tracking of department budget.
7. Processing and maintenance of petty cash records. 8. Distributes weekly and biweekly pay checks to assigned personnel.
9. Preparation and tracking of engineering work orders.
10. Preparation and tracking of Telecommunication orders (new equipment, moves, voice mail and COAX numbers).
11. Preparation and distribution of minutes. 12. General dissemination of information re meetings and inservices.
13. Works with Conference Room Scheduling and Audio-Visual departments as needed.
14. Distribution of mail. 15. Maintenance of photocopier supplies/paper.
16. Supervision of volunteers.


Job Qualifications:

Proficiency in MS Word, Excel and PowerPoint
Minimum Required Education High School/GED
Preferred Education Associate
Minimum Required Experience 1-2 years
Preferred Experience 2-3 years
