The Firm is currently seeking a Marketing Executive Assistant for its New York Office. This individual will report directly to the Global Chief Marketing/Business Development Officer, while also providing support to the Global Marketing Department management team, as well as any others, as needed.
Responsibilities include, but are not limited to:
• Handle the scheduling of appointments/meetings and maintain individuals’ calendars (Microsoft Outlook)
• Strong Microsoft Suite skills including Word, PowerPoint and Excel.
• Financial experience in AP/AR preferred.
• Prepare international travel arrangements, including hotel and transportation needs; will also be expected to liaise with other firm wide administration to coordinate visiting offices when Marketing Department team members travel to another office.
• Handle Marketing Department expense reimbursements and other invoices.
• Review and open incoming mail, as needed.
• Place catering orders for Marketing Department meetings.
• Handle departmental filing, as needed.
• Prepare various correspondence, assist with development of reports, presentations and meeting materials, as needed.
• Strong contributing member of marketing team working in a collegiate, collaborative working environment.
• Assist with all other ad hoc projects within Marketing Department.
Qualifications
• Bachelor’s degree is preferred.
• International experience in fast paced environment.
• Professional services firm experience accepted.
• High energy.
• Detail oriented.
• Strong communication skills, both written and verbal.
• Strong interpersonal and organizational skills.
• Ability to prioritize.
• Flexibility to work within both the downtown and midtown office locations, as needed.
• Flexibility for overtime is a must; this includes early arrivals, late departures and weekends.
