Administrative Assistant- Sales

About the Job

The Administrative Assistant, will assists the National Head of Sales and his sirect reports with all recruiting, scheduling and administrative needs, as well as helping on personal sales business. 


 


DUTIES:



  • Manages the calendar for National Head of Sales, including scheduling appointments with recruiting candidates, clients and Relationship Managers
  • Prepares recruiting packages for first interviews 
  •  Creates binders which contain Correspondence, Relationship Managers Playbook, and Recruiting Operations for all offices and the new hires
  •  Maintains the recruiting spreadsheet and database notes for all new recruits
  • Distributes pre-hire testing, such as the MDI, POP assessments, or Profile XT
  • Schedules appointments between National Head of Sales and Relationship Managers /Sales Managers as requested
  • Maintains all Relationship Manager files
  • Prepares weekly tracking reports and periodization sheets for the Relationship Managers
  •  Schedules weekly National Head of Sales / Relationship Managers 1:1 meetings and prepares notes 
  •  Prepares onboarding paperwork for new hires, including welcome binders, and coordinating contracting paperwork with Fifth Avenue Financial Licensing and Contracting contact
  • Sets up training classes and Lunch and Learns for the Relationship Managers, including reserving NFP conference room, ordering lunch, and making sure all materials are ready
  • Follows up with Home Office on any commission/contracting issues
  • Schedules client appointments, COI appointments, and conference calls for NHS
  • Prepares applications for National Head of Sales’ clients and orders APS and medical exams
  •  Prepare inforce illustrations, sales illustrations, and servicing forms for  clients   

 


EDUCATION/EXPERIENCE:  Advanced education preferred. Prior administrative experience a must, preferably reporting to more than one supervisor. Excellent verbal and written communication skills. Exceptional attention to detail and organization skills. Ability to multi-task and prioritize. Proficient in Microsoft Outlook, Word, Excel
