A unique opportunity to join a fresh, smart and innovative luxury real estate marketing and sales firm. The Administrative Assistant / Front Desk role will assist in all general day to day office administration, supporting corporate/executive team. New hire has the ability to grow with a cutting edge firm with the possibility of being sponsored for their real estate salesperson license and access to full-training cycle, including marketing and sales programs.


 


JOB REQUIREMENTS


 


Responsibilities will include, but are not limited to:




  • Greet, announce and direct all visitors, including clients

  • General administrative tasks; relieving office staff of administrative tasks, including Excel and Powerpoint projects, etc. 
  • General reception/front desk duties, including - phone management, maintenance of office supplies, filing, general needs within all areas of the office  
  • Management of multiple calendars and the scheduling of client appointments
  • Assist Executive team with marketing and advertising initiatives, including events, promotions, partnership, online and offline projects
  • Assist external PR team with local media and outreach programs

 


Qualifications include:


 


Candidate will serve as the first point of contact for our visitors and be responsible for all front-desk and other administrative-support duties. Successful candidates will have client service/office experience and strong organizational/administrative skills, the ability to handle multiple phone lines, filing, and data entry skills. Candidate should be tech savvy with a strong understanding of internet and online programs. This position also requires strong written and verbal communication skills. Candidate must be able to adhere to professional dress code standards.  


 



  • Minimum of 1 year professional experience
  • Strong written and verbal communication
  • Excellent grammar and spelling
  • Must have strong working knowledge of Microsoft Office Suite, including Powerpoint and Excel
  • Understanding of Social Media, Facebook, Twitter, etc
  • Tech Savvy with excellent typing skills
  • Ability to perform independently and respond to tight deadlines
  • Ability to work in a fast-paced, demanding, productive team-oriented environment
  • Demonstrate the highest ethical and professional standards
  • Communicate in a direct and respectful manner 
  • Ability to multi-task and adjust to changing priorities
  • Highly energetic
  • Be a team player with a positive “can-do” attitude
  • Must be dependable
  • Understanding of Luxury Goods
  • Comfortable taking on adhoc projects
  • Marketing background a plus 
  • An understanding of the North Shore, Long Island area and strong local network a plus
  • Ability to edit graphics and pdf’s a plus

 


A temp to perm, entry level position. College grads welcome.  Three month probation period with performance review.
