Administrative Coordinator
We have an Administrative Coordinator opening in our San Francisco office. We are looking for an analytical, motivated, detail-oriented, self-starter to be responsible for coordinating, tracking and responding to internal customer service inquiries for Creative Services printing and fulfillment projects, monitoring production benchmarks to ensure production deadlines are met. This position is also responsible for administrative support to the director of Corporate Communications and for the division. This position is under director level supervision and working closely with the supervisor, Printing Operations. Duties to include:
- Processes fulfillment orders for the enterprise, coordinating mailing/shipping projects for in-house as well as outside-vendor print jobs, including arranging for postage checks to suppliers.
- Manages fulfillment center inventory, keeping materials stocked with current versions and supervising removal of outdated versions.
- Provides administrative support to the director, Corporate Communications, including primary responsibility for cost-coding and tracking multi-million dollar advertising expenditures for the enterprise, coordinating annual corporate contributions and providing support for the annual and quarterly budget variance reports.
- Provides support for the Corporate Communications division, including frequent procurement orders through Oracle, Kronos employee absentee tracking, workplace safety report and other administrative support.
Ideal candidate will have:
- A high school diploma or GED required.
- Two year or associate degree or equivalent preferred.
- Excellent time management skills and multi-tasking abilities; ability to work under pressure and time constraints.
- Excellent interpersonal and communications skills with the ability to build and maintain positive working relationships with colleagues and internal customers of the department.
- Excellent writing skills to prepare and engage in communications with all levels of staff internally and with outside vendors.
- Extremely detail-oriented with excellent follow-through abilities.
- Excellent creativity and flexibility to handle working in a creative environment and under changing circumstances.
- PC literacy; MSOffice skills (Word, Excel, PowerPoint, Kronos, Filemaker Pro, Oracle)
