The Administrative / SharePoint Assistant will support the Program Manager and his supporting managers overseeing InfoPro’s Department of Homeland Security (DHS) Information Technology (IT) contracts. Candidate will be responsible for performing a variety of routine administrative/clerical tasks in such functional areas as finance, human resources, or specific project/business/technical unit. Candidate shall gather, collect, record, track and verify data and information from multiple sources. Also, candidate will compile, review and analyze data for use in presentation and reporting materials.
Candidate will use commercial software packages and/or proprietary software for functional areas, to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations.
Duties:
- Prepare and maintain office and meeting schedules for PM and supporting managers.
- Prepare agendas for meetings in advance as needed.
- Record, transcribe & post the minutes of meetings as needed.
- Correlate and review for accuracy monthly reporting documents; e.g., status reports, invoices, time reporting activities, etc.
- Prepare and keep current status of employees/subcontractors; e.g., security clearance, approved leave, projects being worked, etc.
- Arrange meetings and meeting facilities as needed.
- Prepare, complete and submit expense reports for PM and supporting managers.
- Update email/phone contact directories.
- Develop, update and maintain project documents and procedures
- Manage and route incoming phone calls and correspondence
- Take initiative on requests and inquiries of administrative nature.
- Maintain a flow of information to co-workers via email.
- Other duties as assigned by the PM
Education and Experience:
- Minimum Associates Degree.
- Minimum 1 year experience in the IT industry.
- Proficient in the use of Microsoft Office Suite products; e.g., Word, Excel, Power Point, Visio, etc.
- Hands-on experience or ability to learn Microsoft Sharepoint software.
- Hands-on experience or ability to learn Microsoft Project Server software.
