Position Summary

Provide administrative support related to the file intake process of the Medicare Department.  This includes processing file openings, maintaining various recordkeeping systems, preparing reports, gathering information, and processing file closings.

 

Essential Functions

  • Maintain the highest level of professionalism at all times when interacting with internal and external customers.  Demonstrate a positive attitude and commitment to quality customer service.
  • Contribute to a positive team environment by demonstrating a strong work ethic, effectively communicating with others, and proactively anticipating attorney and client needs.
  • Complete new file openings, which includes:  determine type of file, enter information into billing system, prepare file creation form, complete conflict check, record assigned file number, and fill out file form.
  • Receive departmental mail and distribute to appropriate attorneys and staff.
  • Enter dates and other information into the Medicare Calendar and diaries.  Maintain data to ensure up-to-date information at all times.
  • Use client systems to download documents, including claim information and medical records.
  • Interface with the Business Office regarding billing issues, questions, issues, updates, etc.
  • Process and maintain records of closed files, including updating diaries, preparing form letter, and coordinating retrieval of files from storage.
  • Prepare regular and ad hoc reports using various systems and recordkeeping.
  • Complete special projects and other assignments as requested by supervisor or other members of firm management.

Requirements

High school graduate or equivalent.  College degree or some college preferred.

At lease four years administrative experience, preferably in a legal support role.  Experience using databases.  Experience in a high-volume, fast-paced environment.

Skilled with MS Office Suite applications, and understanding of database concepts.  Strong typing skills.  Highly organized and able to multi-task.  Able to prioritize workload and plan time in order to meet deadlines.  Flexible, adaptable, and able to handle pressure.  Can understand and follow specific, detailed instructions.  Attentive to detail and highly accurate.  Strong interpersonal and communication skills.  Professional manner with clients, attorneys, and others.

 

Equipment, Physical/Mental Demands, Working Conditions

Personal computer and other office equipment such as telephone, keyboard, calculator, fax machine, duplicating machine, etc.

Sitting for extended periods, standing, bending, stooping, and reaching.  Occasional lifting up to 20 pounds.  Manual dexterity sufficient to operate standard office machines.  Range of hearing and vision sufficient to operate standard office machines and communicate extensively via telephone.

Able to deal with stress in a fast-paced work environment with multiple priorities.  Make decisions and adapt to changing work situations.  Grasp and apply new ideas and technologies.  Communicate and successfully interact with various personalities at all organizational levels.

Typical office setting, normally Monday through Friday business hours.  Occasional overtime as required.
