Assistant Contracts Manager

About the Job

Coley & Associates is a San Antonio-based Federal marketing solutions firm focused on assisting companies located across the United States in identifying, winning, and managing Government contracts. We currently seek a highly motivated and experienced Assistant Contracts Manager to join our team of contracting professionals that serve our nationwide client-base.


The successful candidate must be a highly-motivated, energetic, and well organized with strong (moderate to advanced) MS Office skills (MS Word, Excel, and Outlook), as well as general computer skills, to assist with the coordination, preparation, and production of proposals, modifications, and administrative changes to federal contracts. Government contracting experience, while desirable, is not mandatory.


The Job


This is an entry-level position with a clear path for growth into a Contracts Manager position within one to two years of employment.


During your training, the Contracts Manager Assistant will assist mid- to high-level contracts professionals in working with internal and external customers on matters related to federal contracting, including:


 




  • Preparing routine correspondence, negotiation memoranda, and contract documentation to for contracts manager review and submission


  • Preparing, organizing, and maintaining contract records and files documenting contract performance and compliance


  • Developing product listings using spreadsheets and routine calculations


  • Inputting data into the company’s internal software applications, including timecard entries, project status reports, and other contracts related information


  • Researching internet-based databases to support contract actions and assessments


  • Researching contract requirements, special provisions, terms and conditions to help the contracts manager ensure compliance with appropriate laws, regulations, and corporate policies and procedure


  • Answer incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department and


  • Perform other clerical duties as needed, such as filing, photocopying, and collating.

Requirements


The right person will have a Bachelors degree and one year related experience; or equivalent combination of education and experience. The position requires excellent written and verbal communications skills, a strong work ethic, good client relations skills, strong multi-tasking skills, and the ability to see work through to completion.
