Responsibilities

Under direction and supervision of the Assistant Dean of Offshore Academic Programs, the Assistant Director will serve as the primary administrator for NUin, an innovative international program that sends Spring-admitted Northeastern University students abroad for the fall term. The NUin Assistant Director works collaboratively and collectively with the faculty, college deans, unit directors and other collegiate partners to help provide students with a clear and successful pathway from initial interest to on-site experience to their transition to Northeastern University. The primary focus of this position is to coordinate and oversee the day-to-day operational processes and long-term programmatic vision of the NUin Program.

Additionally, the Assistant Director will take proactive steps to improve communication to students as well as take an active role in helping enhance existing systems to better serve the NUin students. S/he will serve as an advocate and liaison for the NUin student to internal and external constituencies. Overall, the Assistant Director will serve as an agent for change necessary to promote success for the NUin students, while maintaining the mission of NU Global and Northeastern University.

Essential functions include:

NUin PROGRAM ADMINISTRATION - With little supervision, the Assistant Director will work with internal departments and international partners to manage the complex administrative and operational aspects of the NUin Program.
- Collaboratively work with NUin international partners and the point people of NU Undergraduate Colleges develop, update, and revise NUin curricula.
- Ensure NUin courses are entered in registrars system and transfer seamlessly.
- Assist billing team in the generation of student bills.
- Work with the Associate Director-Finance & Operations NU Global to develop NUin revenue and expense budget.
- Schedules meetings, assist in creating agendas, takes notes, and disseminates information.
- Manage hiring process, training and oversight of NUin staff.
- Directly responsible for training and managing NUin student co-op and one or more work study students.
- Establish and maintain relationships and communications with various departments across the College of Professional Studies, Northeastern University, and international partners.

MARKETING and COMMUNICATIONS - In this area, it will be the main goal of the Assistant Director to strategize innovative ways to promote the NUin Program to target audiences. S/he will also develop a robust marketing plan.
- Establish and routinely review recruitment goals and strategies.
- Work with Undergraduate Admissions and Marketing team to execute recruitment efforts aimed at target audience.
- Assist the Undergraduate Admissions and Marketing team to develop, update and revise current publications as needed.
- Assist the Undergraduate Admissions and Marketing team to develop, update and revise NUin Marketing and NUin Informational websites.
- Work with Undergraduate Director of Communications, Senior Assistant Director of Communications, and Senior Assistant Director of e-Communications to develop, update and revise current communication plan for NUin, which spans from inquiry --> interest --> enrollment --> pre-departure --> on-site --> transition to Northeastern University.
- Ensure that all communications are comprehensive, consistent, and timely.

ORIENTATION and TRAINING DEVELOPMENT - The Assistant Director will be responsible for developing and overseeing the NUin training for staff and NUin Pre-departure Program for students.
- Work with university resources to develop and execute a comprehensive four-day training for NUin on-site staff (approximately eight staff).
- Coordinate and execute two to three day on-campus NUin Pre-departure Program for 100+ NUin students.
- Establish relationships with various departments on campus, such as housing, catering, scheduling, facilities, etc.
- Research and develop effective assessment techniques for staff training and student orientation in order to identify improvements for the following year.

CUSTOMER SERVICE - The Assistant Director will manage all aspects of student and parent customer service, enhancing the level of customer satisfaction.
- Manage any student/parent problems or concerns before arrival, upon arrival, and regarding the transition to Northeastern University.
- Train and oversee co-op student to respond to student/parent emails and phone calls.
- Meet with walk-in students/parents as necessary.

The Assistant Director will also participate in special projects as needed and requested by the Assistant Dean.

Qualifications

A Bachelors degree is required, with a track record of strong academic performance. Advanced degree preferred. Four to six years of higher education administrative experience and experience working with international students is required. In addition, this role will require a high level of understanding of process flows and the ability to work well in a team environment with limited supervision. The candidate will need to demonstrate the ability to multi-task in a fast paced work environment. Customer service experience is essential. Excellent interpersonal, organizational, counseling and communication skills are required.

Candidate must have strong computer skills, with proficiency in Microsoft Word, Excel, ACCESS, Publisher, and PowerPoint. Candidate must possess strong interpersonal and writing skills. Candidate must be able to exercise sharp critical thinking skills and sound judgment. Candidate must be detail oriented and have strong organization, prioritization, time management, and follow-through skills.

The successful candidate must have demonstrated sensitivity to the needs and concerns of a diverse student population. Ability and willingness to work evening and weekend hours at various locations required. Must be willing to travel.
