We currently have an opening for B/OS Team Leader for our Chicago office.
Role Purpose:
Provide or ensure an effective and efficient business and operational workplace support. Manage the workplace environment and AGCS' s ongoing and outsourced service provision for premises, building/facility management, non IT procurement and other business support elements. Ensure a safe and efficient facility(s) for AGCS employees. Support departments in budgeting and expense plans whilst containing and minimizing costs.
Manage a team of associates who are responsible for providing business and operational services. This includes: the development, improvement and joint ownership of all administrative processes; the formal monitoring, reporting on and adherence to service standards and performance benchmarks; plus the development and performance management of the team to ensure continuous improvement in efficiency and service
Key Responsibilities:
· Purchasing office supplies and NON-IT equipment with optimizing of existing contracts and leveraging of supplier relationships. Ensure that procurement procedures are adhered to.
· Proactive management and support of sourcing/procurement budget together with departments or finance. Ensure that all shared services costs are properly allocated.
· Manage the day to day office administration and services to ensure an effective and efficient workplace.
· Administer AGCS business continuity planning and ongoing administration· Lead and manage the team in order to achieve agreed personal and business targets. Review, track and report against agreed service levels for internal clients; effectively manage these service levels within the team.
· Maintain a continuous review of all procedures and systems.
· Drive the introduction of new processes and systems as well as the continuous improvement in effectiveness and efficiency of all processes and systems
· Develop and manage effective working relationships with all internal customers and continue to develop technical and systems knowledge and business understanding
· Provide project representation, as a project manager or project team member.
· Responsible for the formal induction and training of junior staff members and continue to develop technical and systems knowledge, business understanding and soft skills.
· Ensure that procedures, processes and documentation conform to all regulatory requirements.
Job Requirements:
· At least 5 years significant business and operational experience
· Optional: Advanced knowledge of structures, rules, roles and responsibilities inside AGCS and Allianz and good understanding of AGCS strategy
· Knowing well the roles, tasks and responsibilities of the colleagues in the team and ability of coordination and planning tasks - managing business resources
· High ability to prepare and present complex subjects with advanced communication skills
· Motivating Others/ Communications – interpersonal skills
· Advanced experience in business services, operational management and insurance experience
· Good knowledge in budgetary or financial planning or cost controlling
· Advanced knowledge of AGCS systems and software, access right system and identification systems
· High experience with MS office products and internet
· Friendly, approachable and professional manner with very high motivation and fully customer service oriented
· Be methodical in approaching all tasks.
· Good time management skills and the ability to multi-task as a teamplayer
· Proficient understanding of Health and Safety obligations to the company and employees.
· High experience in space planning, contractor management and purchasing systems
· Advanced English knowledge
