The Box Office Manager is on the front line of public relations. The ideal candidate will have an attentive customer service approach, place a high value on marketing efforts, possess proven organization skills, utilize collaborative manageing skills and enjoy successful recruiting and motivating employees and volunteers.
A. Supervision and Administrative
1. Steward of ticket office building. Ensures security of box office functions and facility.
2. Seasonally sets up ticket sales at the request of the General Committee. Prepare for on sales;
may require evenings and weekends.
3. Accounting fora ll ticket sales, Frontier Club and special events and functions.
a. Generate reports daily, weekly and monthly.
4. Assist with box office budget.
5. Hire, train, supervise, evaluate and dismiss full and part-time staff.
6. Liaison between Cheyenne Frontier Days and ticket outlets.
7. Assures working telephone system for sales and Cheyenne Frontier Days information.
8. Attends Cheyenne Frontier Days and Ticket Committee meetings upon request.
9. Recommends and monitors box office policies and procedures.
10. Responds to written and verbal inquiries.
11. Resolves customer complaints and problems regarding ticket sales and seating.
12. Places tickets on and off hold.
13. Encures compliance with system controls and cash handling procedures.
14. Verifies ticket consignments to event prooters.
15. Issues replacements or invalidates lost and/or stolen tickets.
16. Issues and monitors release of complimentary, mail order, credit card and will-call tickets; monitors sales
of tickets to individuals with disabilities.
B. Ticket Operations
1. Designs tickets to include date, place, time, price, seating and facility policy statements.
2. Recommends ticket prices with concert promoter to include gross sale amount for profit, seating price and discounts.
3. Updates system to reflcet event sales and promoter requirements.
4. Reconcile sales to ensure proper accounting of money and tickets.
5. Prepares daily ticket sales, teller, box office and post-event settlement reports, statements and records.
6. Maintains and updates computerized database file on season ticket holders.
7. Maintains and utilizes computerized ticket system to plan events including seating plans.
8. Serves as Systems Administrator for the ticket office.
9. Sets up shows in ProVenue (includes internet sales).
C. Box Office Operations/Customer Relations
1. Trains staff in customer relations, check/credit card acceptance, security, and cash handling.
2. Updates reader boards and telephone recording to reflect current ticket and event information; resolves
customer complaints and problems regarding ticket sales and seating; responds to written and verbal
inquiries from customers, promoters, and outlet representatives regarding ticket prices, upcoming events,
seating and policies and procedures.
D. Other Facility Functions
1. Upon request arrange for personnel to sell tickets for other Cheyenne Frontier Days functions or other
organizations holding events on park.
E. Marketing
1. Compiles and maintains customer lists for marketing.
2. Implements and evaluates marketing efforts.
3. Maintains customer database.
4. Track sales demographic information.
5. Produces special sales reports.
6. Works with others in the organization on Group Sales, Motor Coach sales, RV sales and packaging.
7. Frontier Club.
F. Other
1. Entertainment Sub-Committee meetings.
2. Work with the Cheyenne Frontier Days Ticket Sub-Committee on customer service and other issues, i.e.
ADA issues.
