TITLE: Administrative Assistant/Tenant Coordinator
REPORTS TO: Asset Management Team
YEARS EXPERIENCE: 1-3
POSITION BACKGROUND:
The administrative assistant is responsible for the administrative tasks associated with the company on a day-to-day basis to help improve and maintain commercial, retail and residential properties. In addition to daily Administrative responsibilities, take steps to ensure all tenants have efficient maintenance response to issues, problems and concerns and provides support to the Asset Management Team.
DUTIES AND RESPONSIBILITIES:
- Creation of correspondence/emails, contacts, calendar, filing, proposals and various documents using Microsoft Word, Powerpoint, and Excel. Strong emphasis on Word and Excel.
- Maintain and update filing system for each property regularly.
- Responsible for ensuring positive tenant and owner relations.
- Respond to and assist in the resolution of problems concerns and questions for tenants in a timely manner.
- Assist with the oversight and preparation of A/R reports and monitor as needed, move in and move out cards, security deposit refunds, lease set up, parking and storage agreements, etc.
- Assist the Director of Asset Management and Asset Managers as requested.
- Data entry as requested
- Process monthly billback charges to tenants.
- Review and code invoices for properties. Check all invoices for accuracy and work with accounting and vendors to clean up any billing problems
- Delegate work orders to maintenance staff and follow up with them to make sure the work was completed in a timely manner and correctly.
QUALIFICATIONS:
- Strong computer skills with emphasis in Microsoft Word, Excel, PowerPoint, Microsoft Publisher, Microsoft Outlook;
- Knowledge some aspects of ADOBE suite and Yardi preferred;
- Ability to mult-task and prioritize effectively;
- BA/BA Degree
