Job Description:

·        Assist Contracts Manager with contracts research and data collection.

·        Supports Contract Analyst with contract review and negotiation.

·        Track status of ongoing contract negotiations – facilitate progress obtaining required info

·        Communicate with internal business managers and/or vendors regarding contract status and negotiations.

·        Become knowledgeable  with respect to the ITS Vendor Management contract processes and clearly communicate processes to customers and vendors (when applicable)

·        Administer contract signature process including obtaining necessary employee and vendor signatures and maintaining contract filing system

·        Scan and upload contracts and enter key contract data to online contract repository.

·        Generate and understand reports from

·        Maintains the vendor agreement renewal/termination calendar.

·        Through periodic QA, ensures that all agreements and related documents are appropriately stored in the repository and archived according to the company records retention policy.

·        Responsible for collecting and compiling vendor contact information

Required Skills:

·        Bachelor’s degree preferred.  Equivalent combination of education and experience may be substituted.

·        5+ years experience in vendor contract management or procurement  functions in a large National organization with multiple facilities

·        Must have demonstrated knowledge and/or skills in the following areas:

·        Writing/Communication - Administrator must have excellent written and verbal communication skills, and be able to write in a clear and concise manner.  Vendor & C-Level communications experience important

·        Legal - A general understanding of legal terms and contract formulation principles is required.  Demonstrated experience with IT/technical contract review. 

·        Organization – Demonstrated attention to detail, excellent time-management, organization and multi-tasking skills; Demonstrated examples of seeing tasks through to completion.

·        Business/Financial – Understanding of basic financial concepts and ability to understand the financial aspects of technical software and maintenance agreements

·        Computer – Advanced computer skills, including advanced proficiency in Word, Excel, Outlook and Internet Explorer.  Database and query experience a plus.  Excel v-lookup and pivot table experience important. 

·        Temperament – Must provide examples of innovative process improvement, patience, flexibility and focus in a rapidly changing environment. A professional demeanor is required at all times.
