Contracted Training Logistics Coordinator

This position is contracted thru Spherion Staffing; the organization is a local Boston Hospital.  Position starts 11/19/2009, and approx ends 2/2010 (depending on completion of project).

Looking for an analytical; problem-solving; proactive person who can work independently with some guidance.   Available to work long hours, especially during peak months (December 2009 – January 2010)

 

Primary Role:  Training Logistics Coordinator

 

Training Enrollment - Manages ongoing training enrollment for all user groups as well as maintain/add information based on change request submitted by the business (must manage approximately 600+ core users schedules)

 

·         Monitor Mailbox for new role change requests

·         Work with Business Managers to enroll staff in training

·         Work with Training Delivery Lead to determine add classes, if necessary

·         Work with Website Administrator to load new/changed staff schedules to the Website

·         Maintain staff demographic info in the staff inventory

·         Manage rescheduling for missed classes, etc.

 

Material Production Management - tracks the material production schedule, works with vendors, and ensures timely delivery of materials to training locations.

 

·         Work with Training Manager to create mock guides for each class as a vendor sample

·         Work with Training Delivery Lead to determine the # of participant guides needed for each class; each location

·         Track shipments from vendor to 132 BLA and follow up with vendor if not received based on schedule

·         Perform quality audit on reproduced materials prior to training room distribution

 

Training Logistics: Manages all logistical activities associated within setup, breakdown for training events for a specific site or sites.   This includes material distribution for training rooms, training room setup (computer, overhead, flipcharts, etc), facilitation of technical/room issue resolution, and a go-between for the training site and central support.

 

·         Setup training room (daily) with Materials, Attendance Sheets, etc

·         Check computers/logons (daily)

·         Work with Delivery Lead to resolve any technical issues associated with the training room computers, hubs, etc (ongoing)

·         During class, acts as 1st point of contact to resolve issues and/or escalate to the appropriate parties.

 

 

Secondary Role:  Deployment Support

·         Work with the Trainers to conduct User Logon Test and Password Resets

Strong Microsoft office skills including: 

Microsoft:   Outlook, Word, Excel, Powerpoint and Access

 

Excellent communication and organizational skills

 

Ability to prioritize work and work both independently and in a team setting. 

 

Customer Service Skills

 

Project Management and Problem Solving Skills; with the ability to manage multiple tasks

 

 

Prior experience with other Microsoft tools such as Access, Visio and Project.

 

At least 2 yrs administrative assistant experience within a matrix organization. 

 

 

Bachelor’s Degree Preferred 

 

 

 

Work Hrs:  8am – 6pm (off peak);   6:30 – 6:30pm (on peak months)

Monday- Friday onsite

 

Overtime required; flexible to work overtime with short notice
