About the Job
- Review customer orders prior to program implementation.
- Assemble site candidate reports and packages for collocations, BTS, and BTF projects.
- Review site' file documents for accuracy. Follow up as necessary for missing documentation.
- Photocopy and distribute information as appropriate within the organization.
- Process and track site application forms for build-to-suit and collocations. Maintain tracking database to ensure dates/status are current.
- Process and track purchase order requisitions. Work with the Finance Department to resolve any related issues. Communicate both internally and externally regarding the status of processing.
- Develop and maintain project working files and generate necessary reports as appropriate.
- Place orders for vendor work. Track and follow-up as necessary to ensure the timely completion of the vendor's work in conjunction with the project. Process any administrative work necessary to authorize the commencement of work. Review related invoices to ensure accuracy. Prepare necessary documentation to initiate the payment process.
- General clerical and administrative support functions to include, but not limited to, photocopying, filing, data entry, creating spreadsheets, placing telephone calls, etc.
- Serve as back-up in the absence of the Program Manager to provide external/internal project updates, create status reports, and attend weekly meetings.
- Work with internal departments to ensure review and approval of customer requests to other related duties as necessary and assigned.
- Prepare draft documents (leases, asset transfer documents, MOL, etc) in accordance with specified criteria for review and approval.
- Insure that said documents are complete and accurate. Ensure documents are input into systems of record in a complete, accurate and timely manner. Prepare complete and accurate lease abstracts for review and approval. Prepare commencement and other notifications as required by lease terms. Generate initial rent billing or rent payment request. Create Accurate and complete documentation and lease files.
- • Report on specified lease criteria including lease SNDA’s, ROFR, Cancellation Criteria, etc. Assist in the coordination of external audit of leases and contracts. Assist in the administration of property tax reporting, filings, payments and assessment disputes. Prepare check requests as needed for document filing and recording. Complete comprehensive abstract review of all historical leases. Coordinate appropriate review and approval of any proposed changes to historical leases. Perform special projects as assigned.
