Position Summary:
Assist in the responsibility of the Digital Imaging and Letter Art Setup department’s throughput, deliverability, accuracy, profitability, costs, standards[CE1] , procedures, and personnel. Act as a role model to motivate, coach, and direct employees to uphold company policy and execute departmental standards. Support Dept. Manager in meeting goals and objectives.
Essential Functions:
· Administer cost, productivity, and accuracy of department’s services, based on departmental standards, clients expectations, and due dates as directed.
· Communicate with department manager for recommended productivity improvements of the departments as it relates to resource management, including employees, temporary staffing, cross training, multiple shifts, and equipment.
· Maintain, and improve departmental performance standards and procedures to ensure measurable objectives and a quality product.
o Assist Dept. Manager to document and maintain accurate records of departmental procedures and have them available for reference.
o Review work orders for completeness and clarity prior to assigning them to the staff. Contacts Account Manager if necessary for revision or clarification.
o Provide recommendations on improving departmental procedures and/or performance to ensure maximum efficiency.
o Maintain quality control procedures to ensure all printed documents are accurate, properly formatted, and readable.
o Monitor and understand Quality Control review of all jobs to ensure completeness and accuracy of output.
o Maintain quality control procedures to ensure all data is processed in a consistent manner internally and between Towne facilities.
o Keep written records of Data Processing templates explaining their function and use.
· Establish job priorities in conjunction with the Production Scheduler and with consideration of work flow through departments and scheduled due dates, enabling timely and accurate completion of work. Responsible to ensure that all time lines are met as required by Towne’s SLA’s with clients
o Break down larger projects or jobs into smaller tasks enabling completion in stages.
o Discuss conflicts in scheduling with the Dept. Manager to reach a resolution.
o Discuss upcoming jobs with Account Managers.
· Enforce company policies and procedures to ensure compliance by personnel.
· Participate on the Safety Committee and required monthly meetings to ensure safety issues and concerns are communicated to personnel.
· Enable, promote, and enforce Towne’s Quality Policy by continuously suggesting improved processes and services to provide better solutions for the needs of our customers and to deliver services to them error free, on time, every time.
· Perform the following Supervisory tasks:
o Schedule employee hours for, Variable Imaging and Letter Art.
o Assist the Dept. Manager in handling employee issues and providing recommendations on handling problems; applies disciplinary action according to company policy.
o Assist the Dept. Manager in conducting yearly performance evaluations and makes recommendations for merit increases.
o Ensure adequate and continual training is provided to all personnel.
o Evaluate personnel to ensure they understand all aspects of their job.
· Responsible for managing both accurate and organized inventory of DPOD related supplies, including machine supplies and department paper stock.
· Manage department labor and OT labor costs as per company standards
Supervision Exercised:
Supervises digital print operators and letter art staff.
Knowledge, Skills and Abilities Required:
· Computer literacy on Windows and Microsoft Office or above, Outlook, Excel, Word, variable imaging platforms.
· Strong organizational skills
· Excellent verbal and written communication skills
· Ability to work under “time sensitive” limitations and requirements
· Ability to multi-task and oversee projects to completion.
· Able to think in a logical manner and track down computer programming errors.
· Ability to learn new programs and applications that Towne may use in the future.
