Position Description:
Coordinates and administers dispatching and purchasing of general warehouse activities of multiple military housing communities. Performs dispatching and purchasing functions.
Essential Job Functions
1. Must come to work every day and be on time. Must maintain a professional image and attitude in keeping the objectives of the company and the residents’ welfare. Must be able to take direction from supervisor and be able to maintain positive relationships with all management and non-management associates.
2. Practices and implements conduct in accordance with established policies and procedures and division motto of “Exceptional Service is Our Standard.”
3. Reviews all purchasing orders, service orders and other related paperwork, verifying accuracy and completeness and ensures that all billings are accurate and all monies are properly collected and accounted for.
4. Supports and ensures timely input, proper use and full utilization of on-site PC-based property management software systems including assistance in training of new associates and ongoing training of property associates.
5. May prepare and approve purchase orders, code and process vendor invoices for payment, send documentation to Corporate Office and follow up on vendor payment inquiries.
6. Maintains current knowledge of all applicable state and local laws, particularly regarding resident-landlord relations and fair housing laws.
7. Maintains courteous and continuous communication with associates, residents and applicants, in a respectful and professional manner. Communicates with residents and families regarding questions and concerns and takes steps to resolve issues or refers them to appropriate associates. Responds to all residents in a courteous and prompt manner, prepares correspondence to residents and maintains accurate conversation records.
8. Prepares service requests when residents call and distributes to appropriate associate for completion. Ensures that all service requests are handled on an immediate basis, if possible, and that all residents are notified if there must be a delay. Enters all data into the facilities maintenance database and service request program. Schedules routine maintenance, follows up to ensure the quality and resident satisfaction.
9. Responsible for ordering of parts, which will be generated by maintenance supervisors or electronic reordering requests to be accomplished in accordance with company guidelines established for the purchase of supplies and services. Responsible for monthly reporting and quarterly inventory.
10. Performs administrative functions including, but not limited to: answering and screening telephone calls; typing and proofreading materials; preparing routine correspondence; scheduling appointments; screening and distributing incoming mail; maintaining files and records; schedule meeting rooms and ensuring deposits are paid and contracts are signed.
11. Performs other related functions, as assigned.
Education and Experience (Required/Preferred)
Skills and abilities normally associated with completion of high school or GED equivalency. Knowledge of customer service, dispatching and purchasing gained though formal education or on the job training required.
Special Characteristics
May be required to work overtime, on-call or be available for emergency situations including weekends and holidays.
Good oral, written and interpersonal communication skills. Attention to detail and good mathematic skills. Ability to work with others and foster an environment of team work. Ability to deal with people with skill and diplomacy. Must possess good computer skills including, Microsoft Office (Word, Excel, and Outlook) and general knowledge of property management or other billing software.
