We currently have an opening for Document Coordinator in our Hampton, New Hampshire Corporate Office.
I. Job Summary
Responsible for controlling and distributing documents of all types on engineering and construction projects. Documents are generated by Wheelabrator, Consulting Engineers, Construction Managers, Contractors, Vendors, Clients, Public Agencies and others. Drawings and data need to be organized and stored in a manner that is easily retrievable. Assists with the archiving of all documents at the project close-out.
Strong computer skills along with strong organizational skills are mandatory.
II. Essential Duties and Responsibilities include the following. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.
- Manages the document database and performs self audits of the document control system.
- Enters and updates documents into the database with appropriate descriptions and coding.
- Accurately allocates and controls the numbering of documents and drawings
- produced on the project.
- Distributes documents for review in the timely manner.
- Participates in development of document control procedure.
- Administers the use of document management software tool.
- Trains and coaches others in the procedural requirements of document control.
- Manages access by other companies to the project document management
- System.
- Leads continuous improvement efforts of the use of the document control
- System.
- Produces reports as required on document database and processes work flows.
- Leads and performs project documentation closeout.
- Assists project Personnel as directed.
- Creates electronic copies from hard copy documents. Scans older plant documents and archives them in a retrievable manner.

The requirements listed below are representative of the qualifications necessary to perform the job.
A. Education and Experience
Required: High school diploma or G.E.D and three years or more previous experience in comparable documentation storage and coordination role
Preferred: Associates degree in Business or Finance is preferred. Additionally, previousexperience is preferred in engineering, construction or power industry
B. Other Knowledge, Skills or Abilities Required
Proficient in use of a computer and Microsoft Office software with experience in Constructware preferred
MS Project experience preferred
Ability to multi-task and self start
Very organized with attention to detail and highly disciplined;
Excellent ability to communicate verbally and in writing in a clear and concise manner
Ability to complete reports and assigned tasks accurately and in a timely manner
Ability to travel as necessary to conduct company business and receive/give training
Strong team building and interpersonal skills, including ability to participate effectively in group activities and interacting with a diverse group of internal and external customers
Ability to accept constructive feedback from others
Is safety conscious and able to receive, comprehend, and utilize OSHA training for work in areas that require use of personal protective equipment.
