Schneider Downs, the largest Pittsburgh-based accounting and business advisory firm, has an immediate need for a polished, professional individual to primarily support one of our Senior Shareholders and also secondarily provide support to managers within the department.
Summary
In this role, you will perform a full range of administrative functions, including personal assistant duties. Role requires strong communication and relationship building skills, meticulous organizational skills, advanced level computer skills, and experience with project/event coordination. Must have exceptional verbal and written communication skills, the ability to handle confidential and sensitive information, be detail oriented and able to juggle multiple tasks while working in a fast-paced environment. Must be competent and confident in interaction with employees and outside parties; you will interact with individuals at all levels within the organization, industry, and community. Professional, flexible, and eager to please are all traits for success in this role.
Responsibilities
· Manages calendar, independently schedules appointments and prepares executive for meetings as necessary
· Assists with sorting, prioritization and disposition of incoming calls and correspondence (email and postal mail), responding independently when appropriate
· Composes and prepares confidential correspondence, reports, presentations and other documents as directed
· Creates and maintains communication channels
· Proactively follows-up on action items
· Arranges detailed travel plans and itineraries, compiles documents for travel-related meetings, and prepares and tracks expense reports
· Displays understanding of business, functional organization’s priorities to ensure projects and tasks are proactively being managed
· Manage multiple projects simultaneously
· Arranges and coordinates meetings and events
· Establish and foster positive working relationships
· Other projects as assigned
Qualifications Required
· Must have the ability to work with little or no supervision, meet deadlines, prioritize assignments, provide recommendations and effectively communicate updates
· Must have at least 5 - 8 years executive or senior officer level Executive Assistant experience in a corporate environment
· Experienced in handling confidential information
· Demonstrated self-motivator and proactive in managing long-term or ongoing administrative projects in balance with daily routine
· Must have advanced level computer skills, including Internet navigation, Microsoft Office (Word, PowerPoint, Excel, and Outlook) and Adobe Acrobat
· Should have a flexible schedule and be able to work outside the core business hours (on a limited basis)
Qualifications Preferred
· Bachelors degree preferred
· Prior accounting, financial services, and/or professional service firm experience
· Tape dictation
