About the Job

SUMMARY

 

The role of the Event Manager is to plan, execute, and finalize projects according to strict deadlines and within budget.  This includes acquiring resources and coordinating the efforts of team members and third-party contractors or consultants in order to deliver projects according to plan.  The Event Manager will also define the project’s objectives and oversee quality control throughout its life cycle.

 

Essential Duties and Responsibilities

This list of duties and responsibilities is not all inclusive.  It may be expanded to include other duties and responsibilities as management may deem necessary from time to time.

Project Management

·         Direct and manage project development from beginning to end.

·         Define project scope, goals, and deliverables that support business goals in collaboration with sales and operations.

·         Creates and executes project work plans and revises as appropriate to meet changing needs and requirements.

·         Identifies resources needed and assigns individual responsibilities.

·         Manages day-to-day operational aspects of a project and scope.

·         Reviews deliverables prepared by team before passing to client.

·         Effectively applies our methodology and enforces project standards.

·         Minimizes our exposure and risk on the project.

·         Ensures project documents are complete, current, and stored appropriately

·         Manages project budget.

·         Assures project legal documents are completed and signed.

·         Coach, mentor, motivate, and supervise project team members and contractors, and influence them to take positive action and accountability for their assigned work.

·         Develop best practices and tools for project execution and management.

·         Conduct project post mortems and create a recommendations report in order to identify successful and unsuccessful project elements.

 

Business Development

·         Identifies business development and “add-on” sales opportunities as they relate to a specific project.

·         Effectively conveys our message in both written and verbal business development discussions.

 

Communication

·         Facilitates team and client meetings effectively.

·         Holds regular status meetings with project team.

·         Effectively communicates relevant project information to superiors.

·         Delivers engaging, informative, well-organized presentations.

·         Resolves and/or escalates issues in a timely fashion.

·         Understands how to communicate difficult/sensitive information tactfully.

 

Technical Understanding

·         Possess understanding in the areas of site surveying, structure, product offerings, and capabilities.

·         Maintains awareness of new and emerging technologies and the potential application on client engagements.

·         Understands structure type, size, requirements, and proper usage.

 

 

 

Client Management

·         Manages day-to-day client interaction.

·         Sets and manages client expectations.

·         Develops lasting relationships with client personnel that foster client ties.

·         Communicates effectively with clients to identify needs and evaluate alternative solutions.

·         Continually seeks opportunities to increase customer satisfaction and deepen client relationships.

·         Builds a knowledge base of each client’s business, organization, and objectives.

 

QUALIFICATIONS

Education and/or Experience

·         Requires two years of college and two to three years of related experience; or four years of high school and five to six years of progressively responsible related experience; or seven to eight years of progressively responsible related experience, or a combination of education and experience.

 

Language Skills

·         Ability to effectively present information in one-on-one setting or within a group atmosphere to other employees of the organization

·         Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals

·         Ability to write routine reports and correspondence

·         Ability to communicate effectively with vendors and employees of the organization

·         Bilingual in Spanish preferred

 

Mathematical Skills

·         Ability to calculate figures and amounts such as proportions, percentages, area, and volume

·         Ability to apply concepts of basic algebra

Reasoning Ability

·         Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

·         Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

Other Qualifications

·         Overtime may be required to meet project deadlines.

·         Physically able to participate in training sessions, presentations, and meetings.

·         Some travel may be required for the purpose of meeting with clients and managing site installations

·         Ability to work flexible schedule including weekends

·         On-call 24 hours a day

·         Proficiency in MS Office Suite
