Job Description:

With limited direction from the Assistant Dean for Faculty Development the Event Planner will be required to plan and execute faculty development programs for the 4,000+ members of the Einstein community.

Responsibilities include but are not limited to the following:

  • Must be able to establish timelines and benchmarks as well as monitor progress throughout the planning period, updating the Associated Dean as necessary.
  • Provide guidance to internal departments and external vendors as needed to execute events as well as arrange for the utilization of institutional resources.
  • Manage the daily operations of the office as well as developing standard operating procedures for Faculty Development Events.
  • Execute faculty development events including meeting logistics, food and beverage coordination, schedule confirmation and securing venues within and outside the Einstein facility.
  • Coordinate the production of all materials such as bio's and presentations.
  • Work directly with Einstein Communications (graphic arts dept) in the development of publicity materials for all events.
  • Draft invitations and reminders for events as well as ensuring attendees are in receipt of confirmation and directions.
  • Prepare and process all attendance and disclosure forms for CME credits.
  • Coordinate the preparation, distribution, analysis and collection of evaluation forms with the Office of Educational Resources.
  • Work with ITS to develop a database for electronic tracking and registration of events. Must also maintain current listing of events on Einstein Web-based calendar. Develop and maintain content on the department's website.
  • Develop and maintain electronic filing system for all records, and managing check requests, purchase orders and speakers fees. Balance the general ledger to ensure expenses are properly recorded.

Job Requirements:

  • Bachelors degree and 3+ years experience in an event planning function.
  • Ability to problem-solve and propose solutions to major issues as they arise with limited supervision in a creative and resourceful manner.
  • Must be extremely well-organized and detail oriented as well as outgoing with excellent social skills. Effectively manages time and resources.
  • Must possess good writing skills and excellent interpersonal skills.
  • Proficiency in Word, Excel, Access and PowerPoint are required.
