Executive Administrative Assistant

About the Job

The Executive Administrative Assistant, acting with little supervision, will anticipate needs of the executive team and the Administrative team while managing the day‐to‐day workflow and prioritizing various projects, which includes scheduling, contact management, preparing materials for meetings, and participating in a wide range of special projects. This role will perform, coordinate and oversee administrative duties while providing an extensive level of support.

Essential Job Duties and Responsibilities

  • Schedule all meetings and travel, including prioritizing meetings and communicating all relevant details to participants

  • Maintain the executive's schedule, including day-to-day and long-term management of meetings, projects, and priorities

  • Assist as needed in company-wide events

  • Work closely with the Administrative Manager to ensure all team members' needs and general office needs are met

  • Work as a member of the Administrative team, willingly providing back-up support for co-workers when appropriate and actively supporting group goals

  • Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines

  • Ensure executives are prepared for upcoming appointments by gathering materials including preparation of meeting agendas necessary for each meeting including but not limited to catering

  • Compile and submit expense reports and invoices for executives

  • Handle phone, email and postal mail inquiries and respond appropriately

  • Manage various office functions; including but not limited to front desk coverage, mail room duties, break room supplies, and office supplies/printers as needed

  • Other duties as assigned

Physical and Mental Demands

This position will spend long hours sitting and using office equipment and computers. The position may also entail light lifting of supplies and materials occasionally, up to and including 20 pounds in addition to reaching, stooping, standing, and walking. This position requires the ability to talk, hear, compare, compute, compile, copy, analyze, coordinate, synthesize, negotiate and communicate.
