Executive Administrative Assistant

This position provides administrative and project management support for the SVP Operations & Integrated Supply Chain and the VP GSC. In addition to correspondence management, word processing, spreadsheet/presentation development and filing, this position is responsible for complex global and local travel, meeting and conference coordination, financial record-keeping and invoice processing. This position also handles highly confidential and sensitive information and deals with external partners as well as internal stakeholders at all levels of the organization. Independent judgement is required to plan, prioritize, and organize diversified workload.
*Coordinate all aspects of communication which includes referring inquiries to principal or extended team members as appropriate or independently responding to incoming personal/telephone/email communications
*Schedule and organize complex activities such as meetings, conferences and department activities
*Manage a complex calendar, organizing and arranging meetings and schedules, at times coordinating across multiple time zones
*Arrange and coordinate complex domestic and international travel arrangements including visa applications
*Compose and type a variety of correspondence, often of a highly confidential or sensitive nature
*Establish and maintain comprehensive filing system for the department to ensure retention of reliable/current data and easy information retrieval
*Act as a liaison with other departments and outside agencies, including high-level executives, to ensure the timely and effective communication/coordination of information and schedules
*Work independently and within a team on special non-recurring and on-going projects
*Participate in design, compilation and dissemination of correspondence, memos, presentations, reports, charts, graphs, business plans, and proposals as well as proofreading/editing this information to ensure complete accuracy, clarity and professional presentation of the final product
*Support all financial oversight activities including expense report processing, invoice review/processing, and travel reimbursements
*Provide support to collect data/facts, summarize information into report form, research alternatives and present solutions
*Maintains office supply inventory; anticipates supply needs and manages supply order/procurement process;Organize and distribute mail for the principals;Other administrative support responsibilities as directed / required

Create and maintain sophisticated word processing, spreadsheet and presentation documents in support of corporate reporting/record-keeping requirements, i.e., financial reports, LRP, OLR, PMP, etc.

Problem solving is the extent to which the position is governed by established practices, rules, regulations, manuals, counsel/advice and independent thinking. It also includes the degree of complexity or original thinking required. Position requires high level of interpersonal and decision-making skills required to evaluate/handle sensitive and confidential situations with diplomacy and tact.
