Disney Interactive Media Group (DIMG) is the division of The Walt Disney Company responsible for the creation and delivery of Disney branded interactive entertainment and informational content across multiple platforms including online, mobile and video game consoles around the globe.
DIMG oversees several lines of business. Disney Interactive Studios, which has five internal game development studios around the world, self publishes and distributes a broad portfolio of multi-platform video games, mobile games and interactive entertainment worldwide. Disney Online produces Disney.com, the No. 1 kids entertainment and family community Web site, for multiple platforms including PCs and mobile phones, as well as the Disney Family Network of Web sites for moms. POSITION SUMMARY
The Executive Assistant is responsible for providing administrative support to three executives - the Vice President department and the Vice President of Disney Media Sales and Marketing Research, as well as handling the day-to-day administrative duties for both groups:
1) Disney Online advertising sales & 2) Disney Media Sales and Marketing cross-platform research.
The Executive Assistant’s prime responsibility is to arrange, coordinate and organize the events and activities of the two VPs in an extremely busy and fast-paced online advertising sales environment. Duties include, but are not limited to managing calendars, greeting guests, answering phones, planning travel, creating and submitting expense reports, completing special projects and providing occasional back-up for other executive assistants within the Disney Media Sales & Marketing Group, as needed.
JOB RESPONSIBILITIES
Provide administrative support to two executives - the Vice President department and the Vice President of Disney Media Sales and Marketing Research. This includes managing calendars, greeting guests, answering phones, creating and submitting expense reports and handling the logistics needed to schedule in-person, video conference and phone meetings for attendees based in multiple locations and time zones
Ensure that executive commitments are met in a timely manner
Coordinate and arrange all aspects of travel, including flight, hotel and town car reservations
Plan and coordinate client and employee events, such as screenings and outings. This includes handling all communications, premiums and logistics
Order and manage the distribution of all promotional materials and premiums.
Develop and maintain correspondence, worksheets, presentations and various other documents, as needed
Handle the day-to-day administrative duties for the online ad sales and research groups, totaling 27 (located onsite and remote offices), which includes purchasing supplies and other items, business cards and stationery, keeping the department calendar, setting up meetings, handling inquiries, coordinating complimentary ticket requests and, on occasion, backing up other executive assistants
Research billing input to SAP and management of overall budget
Coordinate special Disney experiences for clients
Assist the SVP’s assistant with regional requests
Serves as the key point of contact for the New York Ad Sales office for information and services related to Facilities, IT, Human Resources and IT
Ensure that all new hires are set-up with the appropriate office equipment and space
Develop and maintain solid relationships with internal and external contacts, such as the other executive assistants within the Disney Media Sales & Marketing Group, vendors and various contacts located throughout The Walt Disney Company
QUALIFICATIONS FOR POSITION
3 to 5 years executive-level administrative support experience
Evening work is required on occasion for special events, extra hours needed on occasion
Must be experienced in working in an environment that interacts with multiple office locations in different time zones
Must be computer and technology-literate, with a proficiency in Microsoft Word, Excel, PowerPoint, Internet Explorer and Outlook.
Bachelor’s degree a plus
Knowledge of SAP a plus
Previous Disney work experience, a plus
Knowledge of media a plus, but not required

Strong verbal, written and interpersonal communications skills
Ability to support an executive who travels frequently and be comfortable supporting remotely, as needed
