PEMCO Insurance seeks an experienced Executive Assistant to support our Chief Marketing Officer. The ideal candidate for this position will be confident in managing multiple priorities and projects in the day-to-day operations of a busy executive. Prior experience with extensive meeting planning, great problem solving skills, and the ability to deal with stress and occasional conflict is required. This individual must be committed to providing a World Class Customer Experience for our internal business partners and in support of our external partnerships. Familiarity with Sales and Marketing disciplines is a plus. The ability to consistently represent PEMCO in a positive and professional manner is crucial.
- Represent the executive in interactions both internally and externally
- Anticipate needs and ensure executive has background information and resources needed to handle issues and to be prepared for internal/external meetings
- Manage agendas, timelines, and workflow for Executive
- Liaise between executive and other executives, department heads, employees and the community at large
- Manage confidential information and directing of administrative work flow across company sites
- Provide comprehensive administrative support to executive. Includes: composing documents, reports, and complex written correspondence; extensive calendaring; meeting and event planning and coordination; travel arrangements; clerical duties; and call management
- Manage assigned projects related to department and company goals, civic organizations, committees, fund raising, membership drives and/or social functions
- Identify and take ownership of projects that need to be done.
- The role may incorporate other responsibilities and duties unique to supporting a specific executive
- May supervise other administrative staff
Minimum five (5) years of experience as an Executive Assistant, with increasing levels of responsibility preferred or equivalent experience supporting an HR, Finance, IT, Operations, Sales or Marketing executive or director
AA Degree in Business, Liberal Arts or equivalent required. BA in Business, Liberal Arts or equivalent preferred
Demonstrated high degree of professionalism and trust in dealing with confidential and sensitive matters. Ability to anticipate needs and get results. Ability to use tact, discretion and diplomacy at all levels of organization. Also calls for the ability to work well with all levels of internal management and staff, as well as outside clients and vendors, and community organizations
Strong project planning, organizational skills and multi-tasking abilities. Proven ability to communicate effectively verbally and in writing and to compose original materials
Thorough working knowledge of MS Office software and strong internet research skills required
