The Opportunity:
Position Title: Executive Assistant / Office Manager
Summary:
The Executive Assistant serves as liaison between the MeVis senior management team and all internal/external parties, manages office administrative functions, general office workflow and administrative projects, and provides administrative support to MeVis’ President & CEO.
Duties and Responsibilities:
- Manage executive administrative functions to achieve maximum productivity and efficiency
- Maintain the highest degree of confidentiality, discretion, tact and flexibility to promote a positive and professional image of the company
- Serve as liaison with internal and external parties
- Maintain filing and record systems and archive and upgrade systems as necessary
- Financial Data Entry and Reporting
- Perform basic bookkeeping functions and records
- Create sales order acknowledgments and invoices
- Perform reconciliation of credit card and bank statements
- Project Management
- Organize the practical arrangements for major industry meetings/tradeshows, customer visits, offsite workshops and planning/business meetings
- Workflow Management
- Proactively propose and implement actions in support of the achievement of Company administrative goals
- Coordinate/manage online management team calendars
- Administrative Support
- Maintain calendars for the Mevis senior management team, schedule appointments and meetings, generate written correspondence, make travel arrangements, screen phone calls, sort and distribute mail, prepare expense reports, maintain Outlook Contacts files, etc.
- Other duties as assigned
Knowledge/Skills/Abilities:
- Excellent interpersonal, written and verbal communication skills
- Ability to maintain a high degree of confidentiality
- Ability to simultaneously prioritize and multi-task projects
- Ability to initiate and proactively manage responsibilities
- Strong organizational skills
- Strong computer skills including advanced skills in MS Outlook, Word, Excel, and PowerPoint
- Knowledge in basic accounting/bookkeeping
- Strong attention to detail
- Ability to work with minimal supervision using sound judgment and decision making skills
Experience/Education:
Bachelor’s degree with five years of related experience or an Associates degree with ten years of related experience
