Executive Assistant to the CEO and COO

 

Our Client is a leading manufacturer based in Central New Jersey.  The Executive Assistant provides administrative and organizational support to the CEO and COO, which includes the preparation of PowerPoint presentations, agendas, and notices for board meetings and also may prepare minutes of all board meetings, as well as the management of calendars, planning and arranging meetings, executive correspondence, and travel arrangements, etc. .


The responsibilities include but are not limited to the following:

  • With an understanding of business protocols and need for discretion and confidentiality associated with CEO/COO’s clients and business associates, effectively interact with senior company and banking/finance executives, as well as, Board members and their executive assistants while representing the office of the CEO and COO.  Schedule meetings accordingly and utilize sound judgment in understanding the roles of the above mentioned constituents.
  • Draft and/or proof-read documents and PowerPoint presentations as needed utilizing a strong command of proper business writing and grammar. 
  • Top level administrative duties including coordinating travel arrangements, scheduling a high volume of meetings and appointments, managing an ever-changing business/personal Outlook calendar for the CEO & COO and managing complex schedules.
  • Manage, greet and escort visitors as necessary.
  • Multi-task extensively throughout each day and utilize project management skills to plan, coordinate and facilitate on-site and off-site Executive Leadership meetings and functions.
  • Handle arrangements for all CEO sponsored functions for both personal and professional events.
  • Handle multiple requests for time on CEO/COO’s calendar and utilize strong judgment in managing priorities of requests and escalating as necessary for resolution and/or prioritization.
  • Create and distribute monthly Management Operating Review meeting agenda for senior leadership meetings.
  • Manage documents effectively from and to various software programs demonstrating a comfort level with various technologies and/or seek to learn technologies as necessary.

 

Qualifications:

  • Must have at least 5 years previous experience supporting a senior level executive in a similar capacity, preferably some C-level experience.
  • Position requires an efficient, detail-oriented, and organized person who can be responsive to a deadline and results driven environment.
  • Must possess excellent time-management skills, outstanding organizational skills and problem solving skills.
  • Must be able to balance one's own work load, work independently with limited supervision and be able to respond effectively to competing priorities.
  • Requires exceptional communication skills including writing (memo, presentations, correspondence, and email) and verbal skills to interface effectively with executives and all levels of staff.
  • Possess a strong level of discretion and unwavering integrity and honesty to manage highly confidential information.
  • Strong judgment is required to manage competing priorities, understand scope and urgency of requests.
  • Advanced knowledge of MS Office including  MS PowerPoint, Word and Excel.
  • Experience working in a high-paced, high urgency environment that requires discretion, diplomacy and judgment.
  • Flexibility in working early in the day or after hours is required for this role.
  • Ability to travel periodically for off-site meetings and occasional overnight travel is required.
  • Bachelor degree is preferred.
