To enhance the Associate Executive Director's effectiveness by providing high-level executive support.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The Executive Assistant will be responsible for the coordination of an industrious executive office. Multiple tasks and projects will be independently managed with competing priorities and deadlines. Communications will be prioritized, organized, and maintained. The management of details of a confidential and critical nature will be expected. Other responsibilities include but not limited to:
- Handling information requests, arrange conference calls, and schedule meetings
- Managing and maintaining the Associate Executive Director's schedule/calendar
- Reading and analyze incoming memos, correspondence, and reports to determine their significance and plan their distribution
- Processing and composing correspondence and/or reports
- Coordinating all details associated to travel
- Managing all details related to the organization, sanction, and submission of work related expenses
- Anticipating the needs of the Associate Executive Director and act accordingly
- Providing support with tasks related to event planning and/or any projects as requested by the Conference and Special Projects Manager
QUALIFICATIONS/REQUIREMENTS
- Baccalaureate degree preferred or 3 years experience serving as Executive Assistant
- Proficiency in computer skills, including Internet, Outlook, Word, Excel, and other software
- Effective written and verbal communication skills
- Strong interpersonal, communication, and organizational skills
- Ability to work effectively with a wide range of constituencies in a diverse community
- Travel as required
