Facilities Coordinator
Position Summary
In absence of Facility Manager at a location, work in concert with a responsible. Facility Manager to coordinate and schedule service for facility systems that include HVAC, mechanical, janitorial, electrical, security/access, fire alarm, life safety and plumbing. Helps to serve as a liaison with internal customers, internal/external service groups on projects that impact or change the facilities infrastructure. Manages designated building support functions such as mail and reprographic services. Works with Lease Administrator assuring landlord/building owner is providing adequate services as per the lease.
Essential Duties & Responsibilities
· Assures building(s) systems and maintenance functions are handled, including in-house requests and landlord-related, including grounds, HVAC and plumbing are properly handled.
· Ensures safety/security tasks, including passkey control, fire-safety are properly maintained and corporate policy is adhered.
· Assures janitorial, cafeteria, and related service agreement and negotiations are properly executed to assure quality customer service.
· Verifies services delivered by landlord/building owner and other vendors are in line with lease agreement.
· Work closely with Senior Manager, Facilities to plan/monitor budgets, when no FM is available.
· Work closely with Senior Manger, Facilities to plan/implement large scale projects by conducting meetings and follow up as project executes
· Processes purchase requisitions and handle all corresponding paperwork that follows regarding facility projects, etc.
· Assures all vendor PSA/SOW Agreements are properly executed and
· Prepare monthly accrual documentation required by Finance Department
· Follow proper procedure in preparing ASCR and Help Tickets, including work to be completed, follow-up and clearing ticket in MAGIC
· Supervise receptionist at location.
· Lead Trainer for First Aid/CPR/AED training across North American locations
· Respond to after hour building emergencies as required
· Other duties as assigned.
Education and Experience
· Some facility management and service experience
· FMP certification helpful
· Basic knowledge of facility support, mechanical, and electrical systems
· Basic knowledge of general construction planning and implementation of projects
· Customer service/goal oriented
· Computer experience to include various Microsoft Office applications.
