Due to our expansion into the U.S. market, we have an opening for a Front Office Coordinator in our Parsippany, NJ headquarters.  You will be responsible for greeting visitors and clients; providing guests with information about the company; maintaining office efficiency through scheduling meetings; and providing support to the HR department.


Responsibilities:

  • Responsible for creating a positive first impression for all LEO visitors & callers
  • Answers all incoming calls on a multi-line telephone and routes call to the appropriate party
  • Welcomes visitors, logs in sign-in sheet, and issues visitor badges; reports unusual behavior/persons/activities
  • Notifies contact person visitors have arrived and directs them to their destination
  • Keeps the lobby area tidy and presentable
  • Informs appropriate party upon UPS & FedEx package arrival
  • Maintains and distributes internal telephone list to all employees
  • Schedules interviews with managers and coordinates candidate travel arrangements
  • Sets up and maintains different concierge services
  • Schedules conference rooms, audiovisual                  
  • Coordinates in house special events – employee birthdays, anniversaries, meet & greets, blood drive, fund raising, etc.
  • Assists Human Resources Department with miscellaneous projects and other duties as assigned
  • Provides back-up to office assistant with maintaining inventory, office supplies, sending out, receiving, sorting and distribution incoming mail


Requirements:

  • Excellent communication skills (reading, writing, speaking, and listening)
  • Computer and internet skills
  • Proficient with Lotus Notes is a plus
  • Proficient in MS Office (Word, Excel); PowerPoint preferred
