Grant Administrator - PRC Administrator

Position Description:

DJO has an immediate need for a Grant/PRC (Professional Review Committee) Administrator for our global headquarters in Vista, CA.

The Grant Administrator provides administrative support to the DJO Professional Relations Committee (PRC) and related PRC processes.


Essential Job Functions Include:
• Responsible for all PRC submission intake and initial review to ensure complete requests and prepare for PRC review.
• Prepare all PRC related check requests and mail to appropriate individuals/institutions and notify business owner of funding status
• Maintain status tracking log to ensure that all PRC requests are appropriately captured and catalogued.
• Advise business owners of status of submitted PRC requests, as well as status of any HCP payments and/or expense reimbursements.
• Update hourly HCP usage spreadsheet based on approved Work Activity Report and Work Activity Pre-Approval forms.
• Track HCP hours used versus contract and budgeted hours. Communicate monthly status to PRC.
• Intake and review all HCP Tracking forms to ensure complete information is received.
• Responsible for entering various HCP information into the PRC database.
• Obtain and prepare information and payments for disclosure as requested (for internal and external reporting requirements)
• Update Needs Assessment hours used based on approved Work Activity reports as submitted.
• Maintain HCP training records.
• Maintain master HCP files (non-DJO Surgical)
• Maintain master Grant/Fellowship files.
• Manage and facilitate all final paperwork to proposed HCP/Institution receiving agreement. Follow all processes for signatures required and final disposition of signed agreements.
• Provide general administrative support as requested including typing, filing, copying, faxing, mailing, and imaging
• Maintain confidentiality of information at all times.
• Assign & distribute requests to PRC member(s) as applicable
• Update master matrix & online list for all business owners
• Provide other administrative support for Corporate Compliance Department projects, as requested

Qualifications:

Education – Associates degree strongly preferred. Bachelors’ degree preferred or equivalent experience.

Experience –
• Five or more years of administrative experience required, preferably within a healthcare environment.
• Requires demonstrated expertise with Microsoft Office and Adobe Acrobat.
• Must be organized and have a great eye for detail, with the ability to juggle multiple tasks.
• Effective communication skills, good judgment and common sense regarding the handling and release of confidential and sensitive data.
• Must be a team player and available to work overtime as deemed necessary by the VP of Corporate Compliance or designee.
• Must be flexible and willing to take on new tasks as requested by Supervisor.
• Requires the ability to handle multiple simultaneous activities, in an organized and effective manner, within a fast paced environment.
• Requires the willingness and ability to take on various tasks and projects
• Requires the ability and willingness to change priorities daily, depending on the workload
• Requires the ability and willingness to work in an extremely dynamic environment
• Requires the ability to take direction from multiple team members.
