Position Description: The Global Head of Human Resources for Institutional Securities Group is seeking an Administrative Assistant/HR Coordinator to support himself and 2 of his senior direct reports. There will be some minor floor support required as well. This is an excellent opportunity for an individual looking to start their career in Human Resources as this will provide exposure to many of the projects and issues that HR professionals encounter on a daily basis.
Responsibilities:
Maintain executive calendars – schedule/reschedule meetings, field e-mails & phone calls requesting meetings, handle meeting conflicts & prioritization issues Provide telephone coverage – answer executive phones, take accurate messages, arrange executive schedules and address urgent calls with appropriate judgment Facilitate all facets of large group meetings and reserve meeting rooms & call-in numbers, arrange special meeting facilities (meals, PC projector, video conferencing etc), send meeting confirmations, prepare & distribute meeting materials – Use of PowerPoint, Word & Excel to create various presentation materials - Arrange business travel and coordinate out-of-town meeting schedule Type various correspondences Maintain executive files – typing/document preparation, prepare expense reports Navigate firm – interface with various firm departments on behalf of executives to collect information, respond to requests, obtain service, etc. Coordinate travel & process invoices
Skills Required: Bachelors degree At least one year of professional experience/Financial Services a plus Desire to learn about Human Resources Demonstrated resourcefulness and helpful attitude Excellent verbal & written communication Strong multi-tasking skills Proficient in Microsoft Word Prior experience with Outlook calendars a plus
