IT Training and Development Coordinator

Summary Description:

Under limited supervision, performs a variety of administrative tasks to coordinate, schedule and track technical training activities for the Invesco IT organization. System Administrator for computer-based training programs. Communicates with internal and external clients to provide training-related information and services. Provides administrative support for the department and training staff members. Provides support to internal communications initiatives within Invesco IT through email, intranet and other methods.


Primary Duties / Responsibilities:

Coordinate training activities for IT employees by accepting requests, obtaining approvals, managing expenses, screening eligibility, completing and confirming enrollment, and managing communications surrounding training programs.

Maintain IT Training calendar bookings for all IT staff globally: coordinates, tracks, enters and confirms dates; tracks and communicates cancellations on a timely basis.

Track and report training activities via PeopleSoft involving the setup, enrollment, data entry, maintenance, and reporting of accurate records in the database.

Process invoices relating to training activity.

Book and confirm training rooms, training room set-up, catering, sign in forms, course materials and equipment as necessary. Liaise with training partners re: confirming courses, delegate numbers, courier of materials.

Be on hand on the day of program to meet facilitator and ensure room set up is correct, etc.

Serve as Administrator for computer based training system. Assigns user ids, and provides systems administration of all self-paced, technical training programs, liaising with third party provider as necessary.

Help produce communication/marketing pieces. Assist in the maintenance/support of content on IT intranet.

Maintain inventory of supplies, training resources, equipment, and files.

Generates and distributes quarterly training reports, annual metrics, procedural updates, and class notifications.

Minimum Knowledge, Skills, and Abilities Required:

Minimum 3 years professional administrative experience.

Administrative Assistant or Office Manager experience in a corporate environment preferred.

Experience in a Corporate Training environment is preferred.

Experience administering CBT and LMS systems preferred.

Proficient in MS Office Products (Word, Excel, PowerPoint, Outlook) with the ability to create professional presentations, documents, and graphs.

- Excel: excellent Excel skills a must (knowledge of linking, formulas, etc.)

- PowerPoint: excellent PowerPoint skills a must.

- Candidates interviewed will be tested on Excel and PowerPoint, and will be asked to provide writing samples (PowerPoint presentations, training marketing communication pieces, etc.)

Microsoft Sharepoint skills are a plus.

Working experience with PeopleSoft a plus.

Excellent written and verbal communication skills are essential. Excellent grammar a must. Must understand the importance of clear communication and be able to interact professionally with all organizational levels appropriately.

Position requires strong organizational skills due to having to work on multiple and assorted assignments. Must have a strong sense of urgency and the ability to effectively prioritize and multi-task assorted tasks daily. Must be able to work under short deadlines.

Must be detail-oriented and able to work well in a team environment.

Some independence is exercised in defining methods and procedures used to reach an end product.

Flexibility needed, as this person may be asked to assist other teams and be assigned other duties at times.

Working Conditions:

Normal office environment with little exposure to noise, dust, and temperatures.

The ability to lift, carry, or otherwise move objects of up to 10 pounds is necessary.
