Jr. Payroll/Employee Service Center Specialist

MAJOR FUNCTION
Perform a variety of routine clerical duties for the Payroll, HR Planning and Operations, HRIS, and ESC teams such as maintain employee payroll records, file, mail distribution, copy, fax, and manage department supplies. Complete mortgage verifications and wage portion of disability/FMLA forms. Maintain strict confidentially of records and correspondence. As an entry-level payroll position other duties will include, but are not limited to, entering employee data into the payroll system, reset employee passwords, review employee timesheets for accuracy and approval, calculate employee pay, and provide quality customer service to our employees. Individual will work under close supervision of the Payroll Supervisor to learn L Or¿al s payroll and time and labor policies, practices, and procedures.

PRINCIPAL ACCOUNTABILITIES
-Prepare employee files for new hires and terminations.
-File documents required to be maintained in employee files.
-File and keep Payroll CDs in order.
-Open and distribute department mail and faxes.
-Order, store, and maintain department supplies while staying within budget.
-Complete mortgage verification and wage data on NJ disability/FMLA forms.
-Data entry of NJ STD payments into database.
-Respond to calls for employment verification.
-Coordinate vouchers for shuttle bus.
-Manage Code of Ethics mailings.
-Coordinate catering requests.
-Gain understanding of L Or¿al s systems, pay rules, and policies.
-Gain general understanding of laws governing payroll processing.
-Perform data input of employee tax, direct deposit, and other miscellaneous changes.
-Reset passwords for time and attendance system as well as the online workcenter.
-Review electronic timecards for approval and accuracy.
-Complete payroll calculations for retroactive payroll adjustments, terminations, and other exception processing.
-Assist in payroll cycle audit and reconciliation to ensure accurate payroll process.
-Provide back up payroll support when needed.
-Special projects and/or other duties as assigned.

DESIRABLE TRAINING AND EXPERIENCE
-Possess HS diploma or equivalent.
-1-3 years office experience.
-Skill in operating office machines such as fax, copy, scanner, and calculator required.
-Proficiency in Microsoft Office products such as Word, Excel, & Outlook for email & calendars.
-Ability to maintain complete confidentiality at all times.
-Must possess excellent communication and customer service skills.
-Ability to work in a fast paced environment, handle multiple tasks, and meet deadlines.
-Must be highly organized and detail oriented.
-Payroll experience not required but a good math aptitude is a plus.
