Job Description
Lease Administrator / Property Manager
Join P.F. Chang’s Inc. as our new Lease Administrator / Property Manager at our Home Office in North Scottsdale. Reporting directly to the Real Estate Counsel, the Lease Administrator is responsible for all lease administration functions for the entire portfolio of P.F. Chang’s and Pei Wei Asian Diner leases and helps to ensure lease compliance. Responsibilities include lease interpretation; critical date calculation; preparation of legal documents such as lease commencement certificates, amendments, and estoppels. The Lease Administrator communicates daily with landlords, property managers, as well as internal staff, including P.F. Chang’s and Pei Wei’s Accounting, Real Estate, Construction, and Legal Departments. Primary Lease Administration Duties: - Coordinate all lease administration functions for lease and lease-related documents.
- Interpret and abstract complex lease language for newly executed leases into lease database. Update lease database accordingly.
- Prepare new lease files including, obtaining construction exhibits, site plan documents, legal descriptions and signage exhibits. Maintain an awareness of turnover dates and inform appropriate departments of rush status jobs.
- Review and process other lease related documentation.
- Process tenant signed documents. Ensure all contractual requirements are satisfied. Verify and process any applicable deposits/payments.
- Research issues pertaining to leasing and operational matters.
- Draft and negotiate simple lease-related documents.
- Responsible for calculating and maintaining critical lease dates – Maintain and generate monthly lease related reports.
- Work closely with Accounting Departments and Construction Departments to ensure timely collection of tenant allowances and other reimbursable expenses.
Property Management Duties: - First-line of communication between the restaurants and any issues they may be experiencing.
- Lease Investigation & Interpretation.
- Assist with simple negotiations between Landlord and Operations (i.e., temp signage, parking, security, etc.)
- Responsible for acquiring landlord written approval for tenants proposed modifications.
- Maintain positive relationships with Operations and Landlords. Responds to all problems and concerns and ensure compliance with rules and regulations.
- Address complaints and resolve problems with the assistance and guidance of the Accounting Department, Facilities Department, Design Department and Real Estate Counsel when necessary.

Job Requirements:
- Bachelor’s degree or equivalent work experience.
- 3-5 years of direct portfolio management with commercial lease preparation experience.
- Must possess excellent written and verbal communication skills.
- Highly skilled in time management and interpersonal capabilities.
- Ability to build effective working relationships with employees at all levels of the organization.
- Works well in a fast-paced team environment; ability to multi-task.
- Maintains appropriate discretion when working with confidential information.
