SUMMARY OVERVIEW

Supports assigned Legal Staff providing administrative and clerical support


ESSENTIAL DUTIES AND RESPONSIBILITIES

•Create basic cover letters and memos.
•Create new files and folders as necessary.
•Archive outdated documents and files.
•Create check request forms as necessary.
•Assist with filing annual reports, information updates, business licenses and all corporate documents required by state agencies.
•Code legal bills for approval by General Counsel, process and forward the approved invoices to accounting.
•Distribute legal invoices to appropriate approval managers for payment.
•Update the legal billing analysis spreadsheet and CaseTrack invoice module upon invoice approval.
•Assemble and send out the annual stock option grant packages.
•Ensure employee compliance with the Company’s Stock Incentive Plan by receiving signed copies of all quarterly and annual stock option and/or restricted stock grants.
•Prepare and send out the quarterly litigation and claim reports to the HR and OPS managers to ensure accurate reporting for the Company’s 10-Q.
•Ensure the Company’s 10-Q compliance (with the Company’s auditors) by tracking and receiving the quarterly litigation and claim reports received from all HR and OPS managers.
•Archive legal files on a semi-annual basis.
•Prepare Form 4’s for review by the Legal Administrator.
•File approved Form 4’s with the SEC within the required 48 hours.
•Order office supplies.
•Handle special projects as assigned.
•Maintain filing.
•Maintain Exhibit C to the Company’s Insider Trading Compliance Program.
•Prepare and send out the new insider notification packages.
•Prepare and send out the annual mass mailing of the Company’s Insider Trading Compliance Program to all insiders.
•Ensure employee compliance with the Company’s Insider Trading Compliance Program by tracking and receiving signed copies of all insider letters.
•Ensure completeness of the Company’s legal files by tracking and receiving signed copies of contracts and NDA’s.
•Forward lawsuits received from the Company’s Registered Agent to appropriate parties.
•Forward bankruptcy notices received to appropriate parties.
•Track and maintain the manufacturing contract binders.
•Maintain Legal department S.O.P. manual.
•Open and distribute mail.
•Make travel arrangements for all Legal department employees.
•Adhere to all safety and health rules and regulations associated with this position and as directed by supervisor.
•Comply and follow all procedures within the company security policy.


JOB REQUIREMENTS

MINIMUM REQUIREMENTS
High School diploma or equivalent and 1-2 years clerical/administrative background required.

LANGUAGE SKILLS
Basic PC skills, including training and knowledge of Jabil’s software packages. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.

MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all unit measures, using whole numbers, and common fractions.

REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Individual may be required to sit, stand, walk regularly and occasionally lift up to 15 lbs. specific vision requirements include reading of written documents and use of computer monitor screen frequently.
