RGDC is currently looking for a Legal Assistant to work in their West Coast Development office located in Irvine, California.

 

 

POSITION SUMMARY: 

Performs diversified support duties and related services for the Sr. Real Estate Counsel, SVP, Regional Development Officer and other members of the West Coast Development Office. Acts as back-up to the Administrative Assistant to the SVP, Regional Development Officer.  Handles details of a highly confidential nature and performs administrative functions.   

SUMMAR OF KEY DUTIES & RESPONSIBILITIES: 

Transcribes, drafts and/or composes verbal, written and/or printed material including letters, memoranda, meeting agendas and other materials, using Microsoft Office (Word, Excel, and  Powerpoint).

Proofreads material for content and accuracy.

Creates, indexes, and maintains filing system.

Answers phones, schedules appointments and meetings to keep calendars current and provides and requests information as required.

Schedules travel arrangements and reservations, meetings and other arrangements and prepares agendas as needed.

Prepares expense reports for Sr. Real Estate Counsel and others.

Opens, sorts and distributes incoming mail, collects and forwards outgoing mail and inter-office memoranda and responds to routine correspondence within established guidelines.

Scans documents for Business Continuity Program purposes.

 

Assists Sr. Real Estate Counsel with the following:

 

·       Preparing drafts of leases, purchase contracts, and other legal documents.

·       Assembling and coordinating the distribution of due diligence materials in connection with acquisitions and dispositions.

·       Contract administration including preparing contracts for execution, drafting abstracts,  coordinating the scanning, distribution and filing of executed agreements, collecting and distributing insurance certificates, and calendaring critical contract dates using DocMinder software. 

·       Preparing internal memoranda to Senior Management related to proposed transactions and regular interaction with members of the Finance and Legal departments. 

·       Payment of legal invoices to outside counsel including direct input of invoices into accounting system, invoice tracking and coordination of year-end accruals thereof.

·       Developing and maintaining an extensive legal forms catalogue.

·       Drafting letters to outside parties in connection with all legal matters affecting the Western Region.

 

Prepares and tracks certain information for outside auditors.

Interacts with senior executive and clients.

Tracks department hours, vacations, etc.

Tracks department budget for current year and assists in preparing new budget amounts.

Creates and maintains documents for department files and department vault.

Payment of all departmental bills and subscription renewals, licensing and membership fees and ordering of other office supplies.

Coordinates certain other departmental activities, i.e., ordering documentation for attorneys in preparation of closings.

Performs other duties as assigned.

 

 JOB REQUIREMENTS: 

·         High school diploma or equivalent (GED); Bachelor’s degree preferred but not required

·         5 years administrative assistant experience required; experience in legal or real estate a plus

·         Highly accurate word processing/typing skills required

·         Knowledge and advanced proficiency in Microsoft Office (Word, Excel and PowerPoint, Outlook) required

·         Excellent oral and written communication skills required

·         Excellent organizational skills required

·         Strong interpersonal skills; team-player

·         Ability to work productively in an environment with high levels of interruption

·         Ability to maintain highly sensitive information confidential

·         Notary Public preferred but not required

·         Paralegal certification preferred but not required
