Position Summary

Responsible for supporting multiple attorneys in their day-to-day practice, completing various administrative tasks, and serving as a point of contact and providing customer service to clients.

 

Essential Functions

  • Maintain the highest level of professionalism at all times when interacting with internal and external customers.  Demonstrate a positive attitude and commitment to quality customer service.
  • Contribute to a positive team environment by demonstrating a strong work ethic, effectively communicating with others, and proactively anticipating attorney and client needs.
  • Prepare accurate work products within designated timeframes including memos, letters, charts, briefs, pleadings, agreements, and other such documents specific to applicable practice areas.  Proofread all such documents for content and context.
  • Answer and screen telephone calls, respond appropriately to client requests, and coordinate communications between clients and attorneys.
  • Prepare and maintain client, office, chronological, and other files.  Maintain up-to-date and orderly indexes for legal documents.
  • Receive, sort, and prioritize incoming mail.  Update periodicals and loose leaf publications.
  • Accurately enter attorney time, prepare and/or review client billings as necessary, and coordinate with the Billing Department to resolve any client billing questions or issues.
  • Maintain accurate and up-to-date recordkeeping systems including electronic files, databases, etc.
  • Provide general administrative support including copying, faxing, mailings, document delivery, travel arrangements, meeting arrangements, and calendar coordination.
  • Receive and greet clients upon arrival.  Participate in and assist attorneys and clients during meetings as requested.
  • Assist attorneys with administrative tasks related to firm business, external legal industry groups and activities, and continuing education.
  • Participate in providing back-up coverage at reception desk when needed.
  • Complete special projects and other assignments as requested by attorneys, the office manager, or members of firm management.

Requirements

High school diploma or equivalent.  College, business school, or other continuing education preferred.

Four years experience as a Legal Secretary, with experience in general litigation.  New Jersey and/or Delaware experience a plus.

Demonstrated commitment to providing excellent customer service.  Strong secretarial skills including typing, proofreading, spelling, grammar, and math.  Knowledge of MS Office Suite applications, especially MS Word.  Ability to organize and prioritize workload, efficiently handle multiple projects, and prioritize tasks with competing deadlines.  Able to demonstrate flexibility and initiative, and anticipate what needs to be done.  Can understand and follow specific, detailed instructions.  Attentive to detail and highly accurate.  Professional manner with clients, attorneys, and others.

Equipment, Physical/Mental Demands, Working Conditions

Personal computer and other office equipment such as telephone, typewriter, calculator, fax machine, duplicating machine, etc.

Sitting for extended periods, standing, bending, stooping, and reaching.  Occasional lifting up to 20 pounds.  Manual dexterity sufficient to operate standard office machines.  Range of hearing and vision sufficient to operate standard office machines and communicate with clients in person and via telephone.  Ability to crawl, reach, and stretch so as to prepare and maintain files.

Able to deal with stress in a fast-paced work environment with multiple priorities.  Make decisions and adapt to changing work situations.  Grasp and apply new ideas and technologies.  Communicate and successfully interact with various personalities at all organizational levels.

Typical office setting, normally Monday through Friday business hours.  Occasional overtime as required.
