Description

We are currently seeking a Office Manager in the Cincinnati, OH office. S/he will be responsible for managing the day-to-day administrative/shared services functions supporting a group of professionals. This position will ensure high quality, efficient and cost effective delivery of administrative support services and office management by teaming with internal clients and Enterprise Support Services (ESS) management to meet office/area/firm goals.
Responsibilities


HUMAN RESOURCES

Facilitates and/or manages administrative services personnel functions including hiring and separation process, performance management, performance counseling, compensation input, workload balancing, and temporary personnel needs.

Coordinates with Human Resources regarding transfers, flexible work arrangements, and leaves of absence.

Manages support teams, focusing on high-quality service delivery, effective utilization and career development.

Assesses and tracks client service needs to identify and develop appropriate training in conjunction with education personnel.

Supervises day-to-day functioning of all administrative staff. Provides on-site direction, coordination and evaluation of these positions and functions.

Implements recognition and rewards for key performers.

Motivates and mentors staff to ensure commitment to excellence and provision of quality services to our customers.

FINANCIAL

As part of ESS management team, identifies ways to maximize personnel and financial resources, space utilization, and office services.

Analyzes monthly operations statement to track budget compliance.

Participates in information gathering process for host office allocation

Tracks and reports ESS operations and headcount measurements as requested by ESS management.

FACILITIES:

Works to identify and implement administrative and facility management initiatives.

Establishes communication network with key senior office management in order to anticipate practice growth and facilitate future office space planning needs.

Coordinate site moves and places new hires.

OTHER DUTIES

Provides support to Sub-Area Director of Administration in coordination with education personnel, Facilities and Finance.

Prepares, maintains and communicates all policies and procedures as appropriate in a time-sensitive manner.

Provides other duties as assigned.

The incumbent of this position must have:
  • A bachelor's degree in a related discipline, or equivalent work experience
  • 5-7 years of experience in management of business operations, including planning, financial and personnel administration
  • Experience in managing and developing others
  • Proven ability in managing large number of direct reports
  • Experience and understanding in handling confidential information utilizing tact and discretion
  • Experience/ability/comfort level in dealing with senior executives
  • Ability to proactively take initiative and work well under pressure
  • Ability to be flexible and adapt to constant change on a daily basis
  • Experience with conflict management and demonstrated success in problem solving and negotiating skills.
  • Detail oriented with demonstrated organizational skills and ability to manage multiple priorities
  • Ability to think proactively, creatively and strategically.
  • Team player with business maturity, enthusiasm and a positive attitude
  • Sound knowledge of office technology systems, including Windows 2000, Excel, Word, PowerPoint and Lotus Notes - proficiency in learning new software applications
  • Demonstrated ability to identify and analyze complex issues and problems and to recommend and implement solutions
  • Outstanding interpersonal, communication, organizational and customer service skills
