Marketing Leasing Coordinator

About the Job

General Summary

Provides support to regional leasing team. Perform various duties that are necessary to support the regional leasing/marketing activities. In doing so understands the Leasing section of the Operations Manual and utilizes the information to assist the Marketing/Leasing Director with responsibilities. Coordinates marketing related projects with Regional Marketing Coordinator (Chicago).

 

Essential Job Functions

 

1. Generate form leases and amendments and other legal documentation for all leasing activity.

2. Collect market information; assist in conducting, compiling, and presenting marketing analyses; compile and analyze data and put in presentable form for the Marketing Leasing Director.

3. Maintain internal marketing database; and interact with brokers, customers and management.

4. Assist in direct mail campaigns, internal and external marketing initiatives, coordinating details associated with various marketing projects; contact and work with Regional Marketing Coordinator (Chicago) in the execution of all marketing projects.

5. Create and update space availability flyers; broadcast emails to brokers.

6. Along with Regional Marketing Coordinator (Chicago), assist in developing marketing packages, brochures, and presentations; prepare proposals.

7. Manage FR marketing piece inventory; work with Regional Marketing Coordinator (Chicago) for all drip mail campaign literature design and execution.

8. Manage vacant suite floor plans, paper file and electronically utilizing Quark software. When Marketing Leasing Director is away, receive calls and help with literature, etc and inform Marketing Leasing Director.

9. Draft correspondence for Marketing Leasing Director including HOOP (High Occupancy Optimization Plan) correspondence.

10. Schedule and organize broker events.

11. Establish and maintain database of competitive properties for availabilities and rates, broken down by vacant suite and submarket.

12. Track lease deals and submit to the media for press releases.

13. Take initiative to identify and proactively accomplish needed tasks and resolve routine issues. Follow up on commitments and deadlines.

14. Track FR advertising budget vs. actual dollars spent per ad type.

15. Maintain all leasing related documentation and reports for staff meetings.

16. Show space to prospects as needed.

17. Perform other duties as assigned, some of which may be essential to the job.

 

Knowledge, Skills, and Abilities

1. Knowledge of general leasing/marketing concepts and practices at a level normally acquired through completion of four to five years of related work experience necessary to gain knowledge of real estate leasing/marketing techniques.

2. Ability to learn/monitor and update Loopnet, Costar and CRM.

3. Good interpersonal and telephone communication skills.

4. Good written, editing, and communication skills including ability to prepare accurate and appropriate documentation; excellent grammar, punctuation and spelling skills.

5. Have excellent MS Word, Excel and Outlook skills.

6. Internal Contacts: All levels of personnel, corporate and regional, to gather and exchange information regarding marketing and leasing activities.

7. External Contacts: Prospective tenants, vendors and organizations to exchange information.
