| Performs a wide variety of executive administrative duties for the Chairman / VP. Manages calendar & Travel, handles phone calls & correspondence, Schedules meetings & calls. Coordinates usage of office equipment including repair & training. Processes orders for office supplies & maintains adequate inventory levels for general office supplies, stationery, business cards, etc. Manages incoming telephone calls, mail and deliveries. Chairman / VP’s liaison to the public. |
| * Manages and update the appointment Calendar, Files, Engagements, Conference call and meetings schedules for Chairman / VP |
| * Prepares all meeting minutes, reports and correspondence. |
| * Provides administrative services to the Chairman / VP; handles correspondence, receives and screens calls, makes appointments and travel arrangements. |
| * Coordinates and distributes Chairman / VP’s correspondence. Planning meeting activities |
| * Responsible for preparing, updating and distributing meeting notifications / agendas. |
| * Serves as communication link to the Chairman / VP. |
| * Performs special projects and additional duties as assigned. |
| * Successfully maintains rosters, lists, and databases as assigned, handles all assigned communications with Directors, general public, consultants, members, staff, etc., via phone or in writing. |
| * Successfully completes correspondence and projects as assigned. |
| * Is responsible for back-up phone & reception duties. |
| * Maintains a cooperative and close working relationship with staff. |
