BASIC FUNCTION

This position is responsible to oversee the grading and transcript process in the Enrollment Services department to include scheduling end of quarter grading process, process research requests and transcript discrepancy inquiries, process transcripts for high school students attending the Tech-Prep program, and answer records related inquiries from current and former students under federal privacy guidelines.  This position works closely with the Registrar to meet program objectives.

 

ESSENTIAL FUNCTIONS

·         Release student information, under private & state agency guidelines, to public agencies upon request, using a high level of discretion.

·         Oversee the grading and transcript process in the Enrollment Services department, which includes scheduling end of quarter grading process, and processing research requests and transcript discrepancy inquiries.

·         Promptly respond to & track email requests received on the information request line.

·         Perform regular MIS (Management Information Systems) cleanup.

·         Ensure grades are posted to folder on web site.

·         Process registrations & transcripts for high school students attending the Tech-Prep program.

·         Using a high level of discretion, respond to inquiries regarding current and former student records.

·         Reviews the weekly enrollment report, either dropping or placing holds on unpaid enrollments and notifying appropriate department of unpaid fees/tuition.

·         Initiate and schedule SMS reports, ensuring accurate information is transmitted.

·         Review and process instructional division schedule change requests.

 

OTHER FUNCTIONS

·         Perform related duties as assigned.

MINIMUM QUALIFICATIONS

 

PREFERRED QUALIFICATIONS

  • Intermediate database experience.
  • Intermediate level experience with internet/email.
  • Records management experience.

 

CONDITIONS OF EMPLOYMENT

·         Successfully pass a Washington State Criminal History Background Check prior to employment.

Terms of Employment

This is a full time classified staff position scheduled to work Monday through Friday, 8:00 am – 5:00 pm.  The salary range for this position is $2,161.00 - $2,789.00 per month.  Tacoma Community College offers a generous benefits package to include: health, dental, life and long-term disability insurance, state retirement, vacation leave, sick leave and holiday pay.  A collective bargaining agreement exists and membership in the Washington Federation of State Employees or payment of a service fee is required within 30 calendar days of employment.  The layoff unit for this position is “all other WFSE classified”.
